- You will be responsible for maintaining a professional and efficient reception desk, as well as ensuring that all controls and security procedures are followed regarding entry, equipment, supplies, money, personal items, and members' property.
Qualifications and Experience Essential
- Grade 12/Matric Certificate
- 6 months reception or client-facing experience.
- Microsoft Office experience
Preferred
- Experience in the fitness/sporting industry
- 1 year reception or client-facing experience.
Key Performance Areas
Operations
- Maintain a welcoming, clean and professional reception area at all times.
- Greet and acknowledge all members, patients, visitors and staff professionally upon arrival and departure.
- Build and maintain positive, professional relationships with members, patients, visitors and staff.
- Remain familiar with and adhere to all procedures outlined in the Reception Manual.
- Manage and control access to the facility in accordance with established procedures, including access to Fitness Centre services such as the pool and gym facilities.
- Process access cards, load members onto biometrics systems, and assist with access-related queries.
- Maintain knowledge of SSISA products, services, programmes and facilities to provide accurate information and assistance.
- Promote relevant wellness programmes, services and classes to members where appropriate.
- Receive and record lost property handed in during the shift and notify the relevant manager.
- Ensure that items entrusted to Reception, including payment devices, confidential member information and stock, are securely managed and accounted for.
- Provide backup support and assist with the training and shadowing of new or relief Receptionists as required.
Administration and Productivity
- Answer incoming telephone calls within three rings, provide appropriate assistance and take accurate messages where required.
- Ensure telephone messages are promptly communicated to the relevant staff member and appropriately documented.
- Complete all Reception and administrative duties accurately and within required timeframes.
- Receive and process payments in accordance with established procedures and ensure accurate reconciliation of payments and products sold at the end of each shift.
- Liaise with Finance where required to resolve payment discrepancies and ensure records are accurately aligned.
- Resolve routine queries independently and refer complex matters to the appropriate manager or department when necessary.
- Assist Sales Consultants with relevant administrative or operational requirements as approved and required.
Member and Customer Service
- Provide professional, friendly and responsive service to members, patients, visitors and staff.
- Attend to enquiries promptly and take ownership of queries until they are resolved or appropriately referred.
- Provide members with feedback on queries and matters referred through the CRM desk.
- Ensure that information provided to members and visitors is accurate and complete. Where unsure, take responsibility for obtaining the correct information or referring the matter to the appropriate person.
- Understand the scope and boundaries of the Reception function and refer sales-related enquiries to Sales Consultants in accordance with established procedures.
Compliance, Safety and Team Responsibilities
- Comply with all Reception, health and safety procedures and requirements.
- Maintain current CPR training and remain competent to respond to emergencies within the scope of the Reception role and established procedures.
- Attend weekly team meetings and participate as required.
- Perform additional Reception-related duties that are reasonably required from time to time.
