Duties & Responsibilities

Our client is a leading independent provider of corporate, private client, retirement planning, insurance and tax services, with a global network of 23 offices across Europe, Asia, Africa and the Middle East. Our client seeks a Junior Administrator – Client Services to support the Head of Risk and the client services team. This role offers the opportunity to develop a working knowledge of our client's CRM system whilst undertaking routine client service tasks in a regulated financial services environment. Full training on processes and systems will be provided. Key Responsibilities

  • Maintain accurate client records within the CRM system and support the team in keeping client information and AML records current.
  • Assist with the collation, maintenance and organisation of client onboarding documents, KYC agreements and supporting documentation under supervision.
  • Support advisers and colleagues with routine client service tasks, including document requests, client record updates and follow-ups to ensure they are actioned promptly.
  • Monitor shared inboxes and ensure client service queries are acknowledged, directed or answered in a timely manner.
  • Help obtain valuations, platform statements and other client documentation from investment platforms and external providers.
  • Assist with the preparation of suitability report packs and basic draft correspondence and reports for review by advisers or senior colleagues.
  • Set reminders and follow up with advisers, clients or internal teams to obtain missing information and keep tasks and outstanding actions up to date.
  • Provide administrative support during periods of annual leave, study leave or other absence to maintain continuity of the client services function.

Requirements

  • Computer literate and comfortable using Microsoft Office and internal systems.
  • Able to work accurately, follow procedures and complete routine tasks to agreed standards.
  • Strong attention to detail and a methodical approach to administration.
  • Able to prioritise work, meet deadlines and escalate matters when support or guidance is required.
  • A proactive and organised individual with a willingness to learn.
  • Interest in client services, financial planning and regulated financial services administration.
  • Basic understanding of companies, trusts, pensions or investment administration (advantageous but not essential)
