Position: Junior Administrator / Receptionist
Reports to: General Manager (Lizzy)
Location: 42 Mackie Street, Bailey’s Muckleneuk, Pretoria
Type: Full-time · office hours
Purpose. To run the front desk and the routine administration of the home, and to take the day-to-day admin load
off the General Manager so she can focus on running operations and keeping communication flowing. Over time,
the post-holder learns the GM’s routines to provide continuity and cover.
Key responsibilities
● Reception & front-of-house — first point of contact for residents’ families, visitors and callers; a warm,
professional, discreet welcome; managing the switchboard, the front desk, deliveries and sign-in.
● General administration — routine admin, filing, correspondence, document management and accurate
data capture.
● Appointments & diary — coordinating residents’ appointments, diaries and transport bookings, and
confirming arrangements with families.
● Accounts support — capturing invoices and receipts, petty cash, and handling routine supplier and
account queries (support, not ownership).
● Support to the General Manager — helping keep the shared record (CarePath) up to date, taking
minutes, and chasing open items to completion.
● Communication support — making sure family and staff messages are logged and routed to the right
person, supporting the GM’s communication flow.
● Continuity — learning the GM’s daily rhythm so the office keeps running when she is on leave.
Requirements
● Essential — Matric (Grade 12); computer literate (email, MS Office, Excel, and able to learn new systems);
clear written and spoken English; organised, reliable and able to prioritise; warm, patient and discreet;
comfortable working around older people.
● Advantageous — an office-administration or bookkeeping qualification; 1–2 years’ reception or admin
experience; experience in a healthcare or aged-care setting; additional South African languages.
● Awareness — confidentiality and POPIA; respect for the residents’ community and its traditions.

We’re looking for a warm, organised person to help run the heart of our home.
Jaffa is a Jewish residential care home in Bailey’s Muckleneuk, Pretoria, looking after around 70 residents across
independent, assisted and frail care. We need a Junior Administrator / Receptionist to be our front-of-house and the
right hand to our General Manager — the person who keeps the office ticking so the rest of us can look after our
residents.
You’d be the first face families see and the first voice they hear on the phone, so warmth and patience matter as
much as being organised. Day to day you’d run reception, handle general admin and filing, help coordinate
appointments and diaries, capture accounts, and support the General Manager in keeping everything running and
everyone in the loop.

● are comfortable on a computer (email, Excel, and picking up new systems);

It’s a full-time position, office hours, in a close and caring team. Salary is market-related, based on experience.
