The Insolvent Estate & Administrative Assistant will provide administrative support in the management and administration of insolvent estates, together with general office administration and tender-related support.
The successful candidate must have extensive practical knowledge and experience in insolvent estate administration, including the preparation, maintenance and processing of documentation relating to insolvent estates.
The role will also provide general administrative support to the office and assist with the preparation and submission of tenders, quotations and other procurement-related documentation.
The ideal candidate will be highly organised, detail-oriented, reliable and able to work independently while managing multiple matters and strict deadlines.
Experience within a law firm, insolvency practice, debt collection environment or other legal/professional services environment will be advantageous.
Duties & Responsibilities
-Insolvent Estate Administration
The successful candidate will be responsible for providing administrative support in relation to insolvent estates, including but not limited to:
- Assisting with the administration and management of insolvent estate matters.
- Opening, maintaining and updating insolvent estate files.
- Preparing, collating and filing documentation required for insolvent estates.
- Maintaining accurate records of creditors, debtors, assets, liabilities and estate-related correspondence.
- Assisting with the preparation and submission of documentation to the Master of the High Court and other relevant authorities.
- Preparing and maintaining creditor correspondence and documentation.
- Assisting with creditor claims and supporting documentation.
- Recording and maintaining details of claims received and ensuring that supporting documents are properly filed.
- Assisting with the preparation of estate-related reports, schedules and reconciliations.
- Maintaining accurate records of estate assets and liabilities.
- Following up on outstanding documentation and information required for the administration of estates.
- Communicating professionally with creditors, debtors, attorneys, trustees, the Master’s Office and other relevant stakeholders.
- Maintaining a diary and tracking important estate deadlines, meetings and appointments.
- Ensuring that all estate documentation is properly indexed, filed and easily retrievable.
- Assisting with general correspondence and administrative matters relating to insolvent estates.
- Maintaining confidentiality of sensitive financial, personal and legal information.
General Office Administration
- Tender Administration Support
The employee will also assist with the company's tender administration functions, including:
- Monitoring tender portals and other sources for relevant tender opportunities.
- Downloading and organising tender documents.
- Reviewing tender documents and identifying required returnable documents and submission deadlines.
- Assisting with the completion of tender forms, schedules, declarations and other documentation.
- Gathering and compiling supporting documents required for tender submissions.
- Assisting with the preparation of tender files and submission packs.
- Ensuring that tender documentation is correctly filed and easily accessible.
- Assisting with the submission of tenders before the stipulated deadlines.
- Maintaining and updating the tender register.
- Assisting with RFQs and procurement-related administration.
- Maintaining records of tender submissions, outcomes and correspondence.
- Assisting with any other tender-related administrative tasks assigned by management.
- Compliance and Records Management
- Maintain accurate and up-to-date records.
- Monitor important deadlines and expiry dates.
- Ensure that required documentation is obtained and filed timeously.
- Assist with maintaining company compliance documentation.
- Ensure that documents are properly named, stored and easily retrievable.
- Assist with audits, internal reviews and information requests.
- Maintain confidentiality and comply with company policies and procedures.
Desired Experience & Qualification
MINIMUM QUALIFICATIONS AND EXPERIENCE
- NQF Level 6 qualification or equivalent.
- Minimum of 2 years' relevant working experience.
- Extensive practical experience and knowledge of insolvent estate administration is essential.
- Previous experience working with insolvent estates, creditors' claims, estate documentation and the Master of the High Court.
- Previous experience in a law firm, insolvency practice or legal/professional services environment will be highly advantageous.
- Experience in general office administration.
- Previous tender administration experience will be advantageous.
- Computer literacy, particularly Microsoft Office.
- Excellent written and verbal communication skills.

Package & Remuneration
The successful candidate will be offered the following remuneration and benefits:
- R120,000.00 per annum (R10,000.00 per month)
- Funeral Cover: The company provides funeral cover for the employee, their spouse, children, and up to two extended family members, with a benefit of up to R15,000.
