Job Description

  • Pepkor Speciality is seeking a dynamic IR Administrator to join our team. In this pivotal role, you will act as a key administrative coordinator, supporting the broader HR team by gathering critical facts, meticulously documenting timelines, and driving the smooth resolution of IR matters. As the central point of contact, you will monitor Service Provider service levels and ensure processes run without delays. Beyond core IR duties, you will have the exciting opportunity to assist with diverse HR-related projects across the group and provide essential ad hoc administrative support to the wider HR function.

Qualifications

  • A tertiary qualification in HR Management or a related field.

Knowledge, Skills and Experience

  • A minimum of 2 years' experience gained specifically within a Human Resources office or function that includes practical exposure to Industrial Relations.
  • A solid foundation in core HR functions is essential.
  • Practical exposure to the relevant legislation within the HR field.
  • Demonstrated experience administering disputes and interacting with external organizations such as the CCMA, Bargaining Councils, or DoEL.
  • Excellent verbal, written, and interpersonal communication skills in English; fluency in other official languages will be a definite advantage.
  • The ability to interact effectively at all levels and to consistently project a favorable image of the company.

Key Responsibilities

  • Organize functions and meetings, handling core IR administrative duties which include, but are not limited to, scheduling meetings, managing ad hoc IR administration, reporting, and executing general office administrative duties.
  • Coordinate disciplinary hearings, grievances, and CCMA/DoEL interactions, including managing dates, notifying all required parties, and distributing evidence bundles.
  • Generate, analyze, and compile relevant HR information and weekly/monthly reports in order to further our HR objectives.Prepare standard weekly, monthly, and quarterly IR statistical reports and maintain accurate internal Excel trackers and dashboards for executive review.
  • Prepare and handle all incoming and outgoing correspondence, minutes, and documents.
  • Maintain highly secure, audit-ready physical and digital filing structures for all IR matters, including warnings on Sage 300.
  • Forward outcome directives to Payroll and HR Administration to ensure immediate system processing.
  • Overseeing the full employee lifecycle, from recruitment and onboarding to performance management and employee relations.
  • Championing a positive and productive work environment that fosters employee engagement and development.
  • Acts as a trusted advisor to employees, addressing concerns and ensuring fair treatment.
  • Ensures compliance with labour laws and regulations
  • Builds strong relationships with business leaders, employees, and HR colleagues.
  • Staying abreast of current HR trends and legislation to ensure compliance and best practice.
