Introduction

An Agritalent client, a fertilizer multinational, seeks an Imports & Supply Administrator.

The Imports & Supply Administrator is responsible for coordinating and administering import and supply chain activities to ensure the efficient movement, receipting, invoicing, and tracking of products across the supply chain network. The role supports operational continuity through accurate purchase order management, import administration, stock transfers, supplier coordination, and SAP transaction processing while ensuring compliance with company procedures and import requirements. The Imports & Supply Administrator plays a key role in maintaining supply chain efficiency, inventory accuracy, and effective communication between suppliers, clearing agents, warehouses, transporters, and internal stakeholders.

Duties & Responsibilities

1. Purchase Order & Supply Administration • Create and issue purchase orders in SAP • Execute and monitor purchase orders to completion • Follow up with suppliers and transporters regarding product delivery progress • Assist with resolving purchase order related queries and stock allocations • Close completed or invalid purchase orders on SAP • Reconcile high-volume purchase orders accurately

2. Import Administration & Coordination • Create, receipt, and issue import purchase orders on SAP • Communicate with Dubai office and clearing agents regarding shipping documentation • Maintain and update import tracking information accurately • Issue release authorisation letters and product registration certificates when required • Compile vessel outturn reports for management approval • Coordinate import shipments including bulk, breakbulk, and container imports

3. Inventory & Stock Control • Receipt stock into third-party plants against supplier purchase orders • Process stock transfers between import plants, warehouses, and voyage plants • Issue and receipt bulk and container shipments using SAP stock transfers • Ensure stock movements align with physical intake quantities • Maintain inventory accuracy across operational locations

4. Invoicing & Transaction Processing • Process invoicing from third-party plants for purchased products • Invoice import plants for CFR sales transactions • Invoice wholesale orders from third-party plants • Ensure all invoicing transactions are completed accurately and timeously

5. Documentation & Compliance • Maintain and file physical Bill of Lading (BL) documentation • Receive, stamp, and courier BL documentation where required • Ensure all import documentation complies with operational requirements • Maintain accurate records for audit and operational purposes

6. Stakeholder Coordination & Communication • Liaise with suppliers, transporters, warehouses, clearing agents, and internal stakeholders • Coordinate operational requirements relating to imported stock movements • Ensure effective communication across supply chain functions • Support operational problem-solving and issue resolution

7. Operational Reporting & Administration • Maintain accurate operational records and shipment tracking reports • Assist with reporting related to imports and supply chain activities • Ensure all SAP transactions and documentation are completed accurately • Support operational administration and process compliance 8. Problem Solving & Operational Support • Resolve supply chain and import-related issues within required timelines • Escalate operational concerns where necessary • Support efficient operational execution across supply chain activities • Contribute to continuous improvement in supply chain administration processes

Desired Experience & Qualification

  • Grade 12 (Matric) essential
  • Minimum BCom Degree in Supply Chain, Logistics, or related field
  • Valid South African ID or Passport • Valid driver’s license and own reliable vehicle required
  • Fluent in English and Afrikaans (verbal and written)
  • Minimum 2–3 years’ experience in a supply chain or logistics environment advantageous
  • SAP experience advantageous
  • Strong computer literacy (MS Word, Excel, Outlook)
