- The HR & Office Administrative Assistant will provide efficient administrative support to both the Branch Manager and the Regional HR Practitioner.
- The successful candidate will play an important role in ensuring the smooth day-to-day administration of branch operations and human resources activities.
- This is an excellent opportunity for a junior administrator looking to develop a career in Human Resources and office administration.
Key Responsibilities
Human Resources Administration
- Provide day-to-day administrative support to the Regional HR Practitioner.
- Assist with the recruitment process, including scheduling interviews, preparing interview packs, and communicating with candidates.
- Prepare employment documentation, including contracts, new starter packs, and onboarding documentation.
- Coordinate onboarding and induction activities for new employees.
- Maintain accurate and confidential employee records and personnel files.
- Assist with leave administration and employee attendance records.
- Capture and maintain HR information on internal systems.
- Assist with disciplinary hearings, investigations, and other employee relations administration.
- Coordinate employee training records and HR compliance documentation.
- Prepare HR reports and general correspondence as required.
- Provide general administrative support for HR projects and initiatives.
Branch Administration
- Provide administrative support to the Branch Manager.
- Manage filing systems and maintain accurate branch records.
- Prepare meeting agendas, minutes, and follow-up action items.
- Assist with branch reporting and administrative documentation.
- Coordinate office supplies and stationery requirements.
- Assist with travel arrangements and meeting logistics where required.
- Handle incoming calls, emails, and general administrative enquiries.
- Support the coordination of branch events, meetings, and employee engagement initiatives.
- Perform general office administration and ad hoc duties as required.
Requirements
- Grade 12 Matric is essential.
- A National Diploma or Certificate in Human Resources, Business Administration, Office Administration, or a related qualification will be advantageous.
- A minimum of 1 years' experience in HR administration will be advantageous.
- Previous office administration experience will be beneficial.
- Proficient in Microsoft Office Word, Excel, Outlook, and PowerPoint.
- Good written and verbal communication skills.
- Strong organisational and time management skills.
- High level of attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Ability to work independently while also contributing effectively within a team.
- A positive attitude, willingness to learn, and strong customer service orientation.
