Duties & Responsibilities
DUTIES AND RESPONSIBILITIES
PAYROLL ADMINISTRATION
• Capture and maintain Time and Attendance records.
• Verify attendance hours and wage data
• Update weekly headcount reports.
• Verify and calculate overtime hours worked.
• Balance hours worked and net pay calculations.
• Prepare and upload payroll data to Head Office for payroll processing and payslip generation.
• Prepare and submit absenteeism reports.
• Investigate and resolve payroll and wage-related queries.
• Assist with the reconciliation of monthly statutory returns.
• Assist with annual statutory reconciliations for Tax Year End, Statement of Earnings, Return of Earnings (ROE), etc.
• Ensure smooth and accurate payroll administration.
• Maintain payroll records and employee files in accordance with company requirements.
• Maintain and update sick leave records.
HR ADMINISTRATION & REPORTING
• Compile and submit monthly HR reports timeously
• Compile and submit bi-annual employee satisfaction reports.
• Maintain employee records, files, and documentation.
• Update annual attendance registers and leave records.
• Maintain job descriptions for all employees.
• Verify medical practitioners' registration status where required.
• Record and report late arrivals to relevant managers.
• Prepare corrective action documents for aligned with the absenteeism reports.
• Ensure employee personal records are accurate, complete, and secure.
• Assist and guide the training officer with monthly training reports to Head Office.
• Maintain accurate personnel files and records.
• Ensure employee documentation is filed and stored securely.
• Ensure records are readily accessible for audits and inspections.
• Maintain disciplinary, grievance, attendance, leave, training, and employment equity records.
• Liaise with management regarding attendance concerns and reporting requirements.
• Prepare employee-related correspondence, notifications, and documentation.
RECRUITMENT & ONBOARDING
• Coordinate and administer the full recruitment and selection process.
• Schedule interviews and assist hiring managers during recruitment.
• Prepare employment contracts and onboarding documentation.
• Collect and maintain employee personal information, banking details, and employment records.
• Facilitate and coordinate the onboarding and induction process for new employees.
- Maintain all recruitment records and documentation
- Maintaining employee’s job descriptions.
- Prepare disciplinary enquiry documentation.
- Issue warnings in line with counselling/disciplinary instructions.
INDUSTRIAL RELATIONS
- Advise management on disciplinary and grievance procedures.
- Prepare disciplinary enquiry documentation.
- Issue counselling notices and warnings in accordance with company procedures.
- Attend disciplinary hearings and take accurate minutes.
- Maintain records of disciplinary and grievance matters.
- Follow up on disciplinary actions and warning expiry dates.
- Respond to employee misconduct and disciplinary issues.
- Liaise with shop stewards and employees regarding disciplinary matters.
- Facilitate grievance procedures and ensure timely resolution.
- Participate in monthly employee and management consultation meetings.
- Prepare exit documentation and administer employee termination processes.
- Attend Compensation for Occupational Injuries and Diseases (COID/IOD) matters.
- Attend Dispute Resolution Centre (DRC) and related labour matters when required
SKILLS DEVELOPMENT & UPLIFTMENT
- Assist the Company and employees to develop a Workplace Skills Plan (WSP) which complies with the
requirements of the Seta and the Company’s business needs.
- Assist the Company to draft an Annual Training Report (ATR) on the implementation of the WSP.
- Responsible for conducting or arranging all the on-the-job training as required by the company.
- Co-ordination of all training and educational activities, both external and internal.
- Assist with the administration of all training manuals and courses.
- Assist with the maintenance of the company ILU matrix of all the employees. (Develop and implement effective
training measurable).
- Maintain all employee training files.
- Responsible to send a monthly training report to your manager.
- Serve as a resource with regards to all aspects of the skills development within the Company.
- You will be required to work with all the Departments in order for the Departments to meet all the training needs
COMPLIANCE & GENERAL DUTIES
- Comply with all Safety, Health and Environmental requirements, including the wearing of protective clothing issued to you.

Desired Experience & Qualification
- Grade 12 (Matric) or equivalent qualification.
- Human Resource or equivalent qualification
- Computer Literacy
- Knowledge and understanding of time and attendance systems
- 3 - 5 Years' experience in a HR, wage/personnel administration environment, preferably in the vehicle component manufacturing industry
- Understand and comply with attendance requirements
- Sober habits and strong communication skills (both in writing and verbally)
- Must be able to work under pressure
- Must be able to work independently
- Score of 11 required - Company’s skills assessment exercise
- Ability to communicate effectively in the company’s official language.
