Duties & Responsibilities
Fund Administrator Location: Johannesburg Employment Type: Permanent Reports to: Chief Financial Officer / Head of Retail Capital Remuneration: Competitive, depending on experience Job Overview Our client, a growing renewable energy business focused on commercial and industrial solar PV and battery energy storage solutions, is seeking a highly organised and client-focused Fund Administrator to join their team in Johannesburg. This is a key role within the business, working closely with the CFO and Business Development Team to support and coordinate the execution of a capital raise. You will act as the central coordination point between investors, distributors, advisors and internal stakeholders, ensuring that onboarding, compliance, documentation and communication workflows are managed accurately and efficiently. The ideal candidate is someone who thrives in a fast-paced environment, has exceptional attention to detail and can confidently manage multiple stakeholders and processes simultaneously. Key Responsibilities Capital Raise Coordination
• Work closely with the CFO and Business Development Team on the day-to-day execution of the capital raise. • Maintain an accurate overview of all activities, workflows, outstanding actions and deadlines. • Track progress across investors, distributors and advisors, proactively identifying and escalating issues before they become urgent. • Coordinate diaries, meetings and deadlines across the CFO, distribution partners and other counterparties. • Ensure all parties remain aligned and that actions are followed through to completion. Investor Onboarding & Administration
• Process investor subscriptions and onboarding documentation from receipt through to execution. • Conduct AML/KYC verification on investors and connected parties. • Identify and escalate exceptions or compliance concerns in line with established procedures. • Maintain complete, accurate and audit-ready investor files. • Maintain an accurate and up-to-date investor register. • Ensure all required onboarding documentation and processes are completed correctly. Investor & Distributor Liaison
• Act as the first point of contact for investor and distributor queries. • Communicate confidently and professionally with investors, distributors and intermediaries by telephone and email. • Coordinate meetings between distributors and IFAs, including invitations, scheduling and follow-up. • Ensure distributors have the necessary information and documentation ahead of meetings. • Follow up on incomplete applications and outstanding documentation through to close-out. Client Support
• Provide administrative support to clients in compiling and preparing tax documentation. • Escalate substantive tax or technical queries in accordance with established protocols. • Coordinate the distribution of investor statements, confirmations and tax certificates. • Provide professional and responsive support throughout the investor journey. Records, Controls & Compliance
- Apply the required onboarding checklist and control framework consistently across every investor file.
- Maintain accurate records in accordance with regulatory and audit requirements.
- Support internal and external audit requests by ensuring documentation is complete and readily accessible.
- Manage document version control across subscription packs, templates and related documentation.
- Ensure processes are followed consistently and accurately.
Desired Experience & Qualification
Requirements
• 4+ years' experience in fund administration, back-office operations, investor operations or a similar role within financial services . • Working knowledge of AML/KYC onboarding and verification processes . • Excellent telephone manner and strong client-facing confidence. • Experience dealing professionally with high-net-worth investors, distributors and/or financial intermediaries . • Exceptional organisational and coordination skills. • Ability to manage multiple workflows, stakeholders and deadlines without losing attention to detail. • Strong Excel skills. • Comfortable working with CRM and document management systems. • Excellent written and verbal communication skills. • Highly detail-oriented, methodical and process-driven. Advantageous
• Familiarity with distributor and IFA channel operations . • Previous experience supporting a CFO, senior executive or other senior financial services professional . • Experience within investment management, funds, wealth management or a similar regulated financial services environment.
