Duties & Responsibilities

Role Purpose

The Fuel & Convenience Manager is responsible for the overall management and performance of a fuel and convenience retail site. The role oversees daily operations, sales, customer service, staff performance, stock and cash control, financial management, compliance and administration.

The incumbent is accountable for driving sales and profitability while ensuring a safe, efficient, compliant and customer-focused operation. The role requires a visible, hands-on leader who takes ownership of site performance, develops a high-performing team and identifies opportunities for continuous improvement and growth.

Key Responsibilities

Site & Operational Management

  • Manage the day-to-day operations of the fuel and convenience site.
  • Conduct regular site inspections and operational checks to ensure standards are maintained.
  • Ensure the site is safe, clean, well maintained and operating efficiently.
  • Monitor fuel operations, convenience retail activities and value-added services.
  • Ensure operational procedures, systems and controls are consistently implemented.
  • Identify operational challenges and implement practical solutions to improve efficiency and productivity.
  • Take ownership of overall site performance and operational results.

Sales & Business Growth

  • Drive sales growth across fuel, convenience retail and value-added services.
  • Monitor sales performance against targets and implement corrective actions where required.
  • Identify opportunities to increase revenue, customer traffic and average customer spend.
  • Support and execute promotional activities and initiatives designed to increase sales and customer engagement.
  • Develop a strong understanding of products, customers and local market requirements.
  • Identify opportunities for innovation, growth and improved customer experience.

Financial Management & Cost Control

  • Prepare and manage the site's annual budget and expenditure requirements.
  • Monitor operating expenses and maintain effective cost controls.
  • Analyse financial and operational variances and implement corrective actions.
  • Monitor profitability and ensure financial objectives and sales targets are achieved.
  • Manage cash controls, banking processes and daily cash reconciliations.
  • Ensure all financial controls and procedures are consistently followed.
  • Identify opportunities to improve margins, reduce costs and minimise financial losses.

Stock & Inventory Management

  • Maintain effective stock management and inventory control processes.
  • Monitor fuel and convenience stock levels to ensure product availability.
  • Conduct regular stock counts and investigate discrepancies and variances.
  • Identify and minimise stock losses, wastage and shrinkage.
  • Ensure accurate stock reconciliations and investigate potential causes of losses.
  • Maintain appropriate controls over stock receiving, storage and movement.
  • Work with suppliers and internal teams to ensure effective stock availability and replenishment.

Customer Experience

  • Promote and maintain high levels of customer satisfaction.
  • Set the standard for professional, friendly and consistent customer service.
  • Interact directly with customers and address complaints and service concerns.
  • Ensure customer complaints are resolved promptly and appropriately.
  • Monitor service standards and implement improvements where required.
  • Identify opportunities to enhance the customer experience and encourage repeat business.

People Management & Leadership

  • Lead, manage and develop a high-performing site team.
  • Set clear performance and service expectations for employees.
  • Monitor employee performance and address performance issues appropriately.
  • Promote a positive, professional and customer-focused team culture.
  • Build trust and effective working relationships across diverse teams.
  • Coach and develop employees to improve productivity, service delivery and performance.
  • Lead by example through professionalism, integrity, accountability and visible involvement in daily operations.

Compliance, Health & Safety & Risk Management

  • Ensure compliance with company policies, procedures and operational controls.
  • Monitor compliance with relevant external legislation and regulatory requirements.
  • Ensure health and safety standards are consistently maintained across the site.
  • Conduct operational checks and address identified risks or non-compliance.
  • Ensure appropriate controls are in place to manage cash, stock, shrinkage and operational risks.
  • Maintain accurate records and documentation relating to operational and compliance requirements.

Systems & Digital Optimisation

  • Ensure effective utilisation of retail operating systems and digital platforms.
  • Use operational and performance data to identify trends, inefficiencies and opportunities for improvement.
  • Support the automation and optimisation of digital processes and inventory control systems.
  • Maintain accurate operational information and reporting.
  • Use technology and data to improve productivity, stock control and business performance.

Stakeholder Management

  • Build and maintain effective relationships with the Regional Manager, Operations Control Manager and wider retail operations team.
  • Collaborate with finance and accounting teams on financial controls, reporting and reconciliations.
  • Maintain effective relationships with suppliers and service providers.
  • Communicate operational issues, opportunities and performance insights to relevant stakeholders.
  • Work collaboratively with internal and external stakeholders to achieve site objectives.

Administration & Reporting

  • Maintain accurate operational, financial, stock and administrative records.
  • Prepare and submit required site reports accurately and timeously.
  • Monitor key performance indicators and provide feedback on site performance.
  • Analyse operational results and recommend improvements.
  • Ensure all required documentation and administrative processes are completed in accordance with company standards.

Desired Experience & Qualification

Role Requirements

  • National Diploma in Business Administration, Commerce, Accounting or a related field.
  • Minimum 4 years' relevant experience in retail sales, fuel retail, convenience retail or a similar environment.
  • Proven experience in a managerial or supervisory capacity within a retail environment.
  • Proven track record of managing sales, profitability, stock and operational performance.
  • Strong understanding of retail operating key performance indicators.
  • Experience in budgeting, expense control and financial analysis.
  • Strong stock management, stock reconciliation and shrinkage-control experience.
  • Experience managing cash controls and reconciliations.
  • Strong understanding of customer service and retail operations.
  • Excellent MS Office skills.
  • Strong communication and negotiation skills.
  • Ability to analyse operational and financial information and make sound decisions.
  • Strong leadership and people-management capabilities.
  • Ability to work effectively with diverse teams and multiple stakeholders.
  • Strong problem-solving skills and sound pragmatic judgement.
  • High level of accountability, integrity and self-awareness.
  • Achievement-oriented with a strong focus on continuous improvement.
  • Ability to work in a fast-paced, operationally demanding retail environment.
