KEY RESPONSIBILITIES Front Office & Administration
- Manage the day-to-day front office and general administration.
- Handle paperwork and ensure documents are completed, filed and followed up.
- Ensure that requests and tasks are actioned and do not get overlooked.
- Assist with keeping the office and operational processes organised.
- Answer and direct telephone calls and deal with general enquiries professionally.
- Provide support to sales representatives and other staff as required.
- Assist with quotes, paperwork and customer-related administration where required.
Staff & Scheduling
- Prepare and maintain schedules for teams of employees.
- Assist with coordinating staff and ensuring that people know where they need to be and what needs to be done.
- Keep track of attendance, schedules and day-to-day operational requirements.
- Deal with minor staff issues and queries in a professional and fair manner.
- Work comfortably with a diverse, predominantly working-class workforce.
- Communicate effectively with employees from different cultural backgrounds.
Stock & Operations
- Assist with stock administration and monitoring.
- Receive and check incoming stock where required.
- Learn the company's stock ordering processes and assist with placing orders when required.
- Liaise with sales representatives, suppliers and customers.
- Assist with ensuring that operational requirements are dealt with timeously.
- Support the team in keeping the workplace running efficiently.
General Office & Site Responsibilities
- Open the premises in the morning and ensure the office/site is ready for the day's operations.
- Assist with locking up and securing the premises at the end of the day.
- Be present and hands-on throughout the working day.
- Work independently when required and take ownership of tasks.
- Identify problems and find practical solutions rather than waiting to be told what to do.
- Assist wherever needed to ensure the smooth running of the business.
