This role manages guest check-ins and check-outs, reservations, guest enquiries, and administrative duties, ensuring exceptional customer service and creating a positive first and last impression of the establishment. Key Responsibilities Welcome guests in a friendly, professional, and courteous manner. Perform guest check-in and check-out procedures efficiently and accurately. Process reservations, amendments, cancellations, and room allocations. Answer telephone calls, emails, and guest enquiries promptly and professionally. Provide guests with information about the hotel's facilities, services, local attractions, and activities. Handle guest requests, concerns, and complaints promptly, escalating issues when necessary. Maintain accurate guest records using the Property Management System (PMS). Process guest payments, issue invoices, and balance cash and card transactions. Ensure reception and lobby areas remain clean, organised, and welcoming. Coordinate with Housekeeping regarding room status, arrivals, departures, and special requests. Liaise with Maintenance to report room or facility issues affecting guests. Communicate effectively with all departments to ensure seamless guest service. Assist with concierge services, including transport arrangements, restaurant bookings, and activity reservations where applicable. Promote hotel facilities and services to enhance the guest experience. Maintain confidentiality of guest information at all times. Follow hotel policies, procedures, and service standards. Ensure compliance with health, safety, security, and emergency procedures. Assist with administrative tasks and daily front office reporting as required. Working Conditions Full-time position requiring shift work, including weekends, evenings, and public holidays. Fast-paced, guest-facing environment. Requires prolonged periods of standing and regular interaction with guests. Detail: Minimum Qualifications Grade 12 (Matric) or equivalent. Certificate or Diploma in Hospitality Management, Tourism, or a related field is advantageous. Training in customer service or front office operations is beneficial. Experience Minimum of 1–2 years' experience in a Front Office, Reception, or Guest Services role within a hotel, lodge, resort, or hospitality environment. Experience using a Property Management System (PMS) such as Opera, Protel, or similar is advantageous. Experience handling reservations and guest enquiries is preferred. Knowledge Front office procedures and hotel operations. Guest service principles and hospitality standards. Reservation and booking processes. Cash handling and payment processing. Telephone etiquette and professional communication. Basic administrative and office procedures. Health, safety, and security procedures.
