Job Title: Front Desk & Office Administrator — Aged Care Home (Pretoria)

Location: Bailey's Muckleneuk, Pretoria

Type: Full-time, Office Hours

Salary: Market-related, junior/entry level (commensurate with experience)

About the Role

We're looking for a warm, organised, and reliable Front Desk & Office Administrator to join our team at Jaffa, a residential care home in Bailey's Muckleneuk, Pretoria. You'll be the first point of contact for residents' families, visitors, and callers — and the right-hand support to our General Manager, helping keep the office running smoothly day to day.

This is an ideal role for someone who takes pride in a well-run front desk, enjoys variety in their work, and is comfortable and compassionate around older people.

What You'll Do

  • Welcome visitors, families, and callers warmly and professionally; manage the switchboard, front desk, deliveries, and sign-in
  • Handle general office administration — filing, correspondence, document management, data capture
  • Coordinate residents' appointments, diaries, and transport bookings; confirm arrangements with families
  • Support with invoices, receipts, petty cash, and routine supplier queries
  • Help keep our shared record system (CarePath) up to date, take minutes, and follow up on open items
  • Log and route messages between families and staff
  • Learn office routines to provide cover when the General Manager is on leave

What You'll Need

  • Matric (Grade 12)
  • Computer literacy — email, MS Office, Excel, and comfort learning new systems
  • Clear written and spoken English
  • Strong organisational skills and the ability to prioritise
  • A warm, patient, and discreet manner
  • Comfort and confidence working around older people

Advantageous (not essential)

  • Office administration or bookkeeping qualification
  • 1–2 years' reception or admin experience
  • Experience in healthcare or aged care
  • Additional South African languages
