Maintain a positive and productive working environment. Monitor team performance and ensure procedures and standards are followed. Stock Processing Ensure all stock transactions and movements are processed accurately and on time. Maintain accurate stock costs on Syspro and other relevant systems. Process stock journals and assist with processing when required. Stock Reservations Ensure stock bookings and reservations are processed accurately and on time. Ensure all reservations are correctly captured on Syspro. Assist the team with reservation activities when required. Reports & Reconciliations Ensure stock balances, reports and pallet reconciliations are completed on time. Check that stock quantities, costs, billing rates and costing information are accurate. Review daily and weekly reports before submission to Management. Assist with Management Accounts and Internal/External Audits. Identify and investigate discrepancies or unusual information in reports. Stock Queries & Claims Monitor and assist the team with resolving stock queries and claims. Ensure urgent and outstanding queries are prioritised and resolved timeously. Review outstanding queries and claims and provide regular feedback. Ensure the correct claims and reporting processes are followed. Documentation & Filing Ensure all required stock documentation is completed, uploaded and filed correctly. Ensure the team meets all administrative deadlines. Syspro Create LOTs and assist with stock adjustments on Syspro. Ensure required Syspro balance functions are completed accurately. Open new cold stores on Syspro and capture the required information. LCTs Assist with LCT analysis and reporting when required. Training Assist with onboarding and training new employees. Support the team with training on new procedures, systems and controls. KPIs & Performance Monitor the team's performance against agreed KPIs. Assist with monthly performance reviews. Ensure employees understand and work towards departmental objectives. Systems & Process Improvements Support the implementation and testing of new systems and processes. Identify opportunities to improve departmental efficiency and processes. Adapt to changes and developments in the company's IT systems. Ad Hoc Perform any other duties and responsibilities as requested by the Inventory Manager or Employer. Minimum Qualifications and Experience: Matric (non-negotiable). Tertiary qualification in Accounting, Finance, or a related field preferred. Minimum 5 years' experience in dealing with the financial aspects of inventory, accounts payable, and accounts receivable. 3–5 years' experience in a similar role, including supervising a team of Clerks. Intermediate to advanced Excel skills. Experience with systems such as Pastel, Syspro, Macro, or in-house systems. Experience in reviewing and reconciling General Ledger accounts, stock movements, stock balances, and pallets. Experience in calculating and reviewing inventory costs. Experience in processing stock journals. Soft Skills: High level of attention to detail. High level of accuracy when carrying out daily tasks. Strong leadership skills. Ability to work effectively as part of a team. Ability to lead, motivate, and develop a team. Ability to communicate with and train team members, ensuring that established procedures are followed. Effective communication skills, both in person, via email, and telephonically. Ability to work effectively under pressure while reviewing large volumes of work.
