Job Title: Reservationist Start Date: 2026-07-28 - 2026-08-27 Vacancy Type: Permanent JHB003317 Sectors: Reservations Location: Western Cape , Houtkappers Salary: (Market related) Brief: We are seeking a professional, guest-focused, and detail-oriented Reservationist to join our hospitality team in Hout Bay, Cape Town. The successful candidate will be responsible for managing accommodation reservations, maximizing room occupancy and revenue, delivering exceptional customer service, and ensuring a seamless booking experience from enquiry through to arrival. This role requires excellent communication skills, strong administrative abilities, and previous experience within the hospitality industry. The Reservationist is responsible for handling all accommodation enquiries and reservations while delivering outstanding customer service. The role ensures accurate booking management, maximizes occupancy, and works closely with the Front Office and Operations teams to provide guests with an exceptional experience before arrival. Reservationists are often the first point of contact for guests and play a vital role in creating positive first impressions. Key Responsibilities Reservation Management Respond promptly to telephone, email, and online booking enquiries. Process all reservations accurately and efficiently. Update booking information in the Property Management System. Confirm reservations and send booking confirmations to guests. Manage amendments, cancellations, and special requests. Ensure all guest profiles are updated with accurate information. Monitor room availability and booking allocations. Process group and corporate reservations where applicable. Guest Service Provide guests with detailed information regarding accommodation, rates, facilities, and local attractions. Assist guests with special requests and personalized arrangements. Maintain professional communication throughout the reservation process. Resolve guest enquiries and reservation-related concerns promptly. Deliver exceptional customer service aligned with company standards. Revenue & Sales Maximize room occupancy and revenue through effective selling techniques. Upsell room categories, packages, and additional services. Promote seasonal specials and promotional offers. Monitor availability and recommend rate adjustments where appropriate. Assist in achieving occupancy and revenue targets. Administration Maintain accurate reservation records. Prepare arrival lists and reservation reports. Ensure payment details and deposits are correctly processed. Verify booking information received through Online Travel Agents (OTAs). Reconcile reservations against availability. Maintain filing and documentation systems. Coordination Liaise with Front Office regarding arrivals, departures, and special requests. Coordinate with Housekeeping to ensure room readiness. Communicate guest preferences to relevant departments. Work closely with Sales and Marketing regarding group bookings and promotions. Compliance Adhere to company policies and procedures. Maintain confidentiality of guest information. Ensure compliance with POPIA and data protection regulations. Follow health and safety standards. Detail: Minimum Requirements Grade 12 (Matric). Hospitality, Tourism, or Hotel Management qualification advantageous. Minimum 2 years' experience as a Reservationist in a hotel, lodge, or guesthouse environment. Experience working with Property Management Systems (PMS) such as NightsBridge, Opera, Protel, RoomRaccoon, or similar. Strong understanding of OTA platforms including Booking.com, Expedia, and Airbnb. Excellent verbal and written communication skills in English (additional languages advantageous). Computer literate with proficiency in Microsoft Office. Excellent telephone etiquette and customer service skills. Strong organizational and time management abilities.
