Introduction

The Family Executive provides comprehensive, hands-on support to a family across their personal and household affairs and acts as Executive Assistant to the company’s Financial Director on the business side. The role demands high levels of confidentiality, discretion and judgement, and, above all, the ability to independently see tasks through to completion.

This is a senior, trusted, standalone position, split across two principals: the family and the Financial Director. Success looks like a family whose personal and administrative life simply runs, and a Financial Director whose diary, correspondence and meeting preparation are handled without him having to think about them.

Duties & Responsibilities

Core Responsibilities — Family Office

  • Diary & scheduling: Manage schedules, appointments and calendars for family members; prioritise and protect their time.
  • Correspondence: Draft, proofread and manage correspondence, and act as a trusted point of contact on the family's behalf.
  • Travel: Arrange domestic and international travel, flights, accommodation, transport, reservations and full itineraries, efficiently and cost-effectively.
  • Events: Plan and run family events, functions and gatherings end to end, anticipating and resolving issues before they surface.
  • Household & vendors: Liaise with and oversee household staff, vendors and service providers to keep personal and household affairs running smoothly.
  • Records & filing: Maintain orderly, up-to-date records using Microsoft 365 (OneDrive, SharePoint, Teams).
  • Confidentiality: Handle sensitive personal and financial information with the highest degree of confidentiality, and safeguard the family's privacy at all times.

Core Responsibilities — Executive Assistant to the Financial Director

  • Diary & meeting management: Schedule and prepare the Financial Director for internal and external meetings, including travel and logistics.
  • Correspondence & documents: Draft and proofread the Financial Director's correspondence and maintain his records and files in Microsoft 365.
  • Board and HR Committee administration: Support the circulation of papers and tracking of action items for board and HR Committee meetings the Financial Director attends, working alongside the Risk and Compliance function rather than in place of it
  • Liaison: Act as a first point of contact between the Financial Director and internal or external stakeholders when he is unavailable, without making decisions on his behalf.
  • General administrative support: Provide day-to-day administrative support to the Financial Director's business responsibilities, prioritised alongside family office duties

Desired Experience & Qualification

Essential attributes

  • Executor mindset: A self-starting doer who takes full ownership of outcomes and works independently with minimal direction.
  • Organised: Exceptional organisation and the ability to juggle competing priorities across two principals without dropping detail.
  • Trustworthy: Proven discretion in handling confidential personal, financial and business matters.
  • Communication: Clear, professional written and verbal communication; comfortable representing both the family and the Financial Director.
  • Tech: Strong Microsoft 365 proficiency (Outlook, Word, Excel, OneDrive, SharePoint, Teams).
  • Problem-solver: Anticipates problems and solves them proactively rather than escalating them.
  • Composure: Calm, professional and resilient under pressure and changing priorities.

Desirable

  • Prior experience in a family office, private household, or executive-support role at a senior level.
  • Exposure to board or governance administration (papers, minutes, action tracking).
  • Bookkeeping or general finance administration exposure.
  • Valid driver's licence and own reliable transport.

Package & Remuneration

R 35,000 – R 50,000 per month (depending on experience and qualifications)
