Are you an experienced Facilities Manager with strong Property Management, Building Maintenance, Contractor Management and Tenant Management experience? A leading Property Management Company is seeking a hands-on and commercially aware Facilities Manager to take responsibility for a portfolio of buildings while leading a Facilities Management team responsible for the day-to-day performance and management of the properties. This opportunity is ideal for an experienced Facilities Manager who understands that effective facilities management goes beyond maintenance. You will be responsible for building operations, preventative maintenance, SLA management, tenant relationships, service providers, compliance, utilities, risk management and facilities team performance. About the Role As the Facilities Manager, you will take ownership of a portfolio of properties and lead the Facilities Management team supporting those buildings. You will ensure that buildings are maintained to the required standards, Planned Preventative Maintenance (PPM) programmes are completed, service providers meet their contractual obligations, tenants receive excellent service and operational risks are proactively identified and managed. This is a hands-on role requiring regular site inspections, tenant engagement, contractor management and facilities team leadership. Detail: Key Responsibilities Facilities & Property Management Manage the day-to-day facilities operations across a portfolio of buildings. Lead and manage the Facilities Management team supporting the portfolio. Ensure buildings are maintained to the required operational and quality standards. Monitor building maintenance and ensure work is completed within prescribed turnaround times. Conduct regular property and site inspections. Identify maintenance requirements and ensure corrective action is taken. Perform quality checks on maintenance work and repairs. Ensure all personnel allocated to the properties understand their responsibilities and deliverables. Drive consistent service delivery across the portfolio. Planned Preventative Maintenance – PPM Take responsibility for the effective implementation of Planned Preventative Maintenance (PPM) programmes across the portfolio. You will: Ensure PPM schedules are implemented and actioned. Monitor preventative maintenance activities. Follow up on outstanding maintenance. Ensure maintenance is completed within agreed turnaround times. Conduct quality inspections following maintenance and repair work. Identify recurring maintenance issues and recommend appropriate solutions. Contracts, Lease Agreements & SLA Management Understand and manage relevant Lease Agreements, conditions and facilities obligations. Manage internal and external service providers. Monitor Service Level Agreements (SLAs). Ensure contractors deliver services according to agreed scope, quality and performance standards. Proactively manage scopes of work. Monitor service provider performance and address non-performance. Identify and report deviations from lease conditions. Ensure facilities services are delivered in accordance with contractual requirements. Facilities Team Management Lead and monitor Facilities Coordinators and other personnel allocated to the portfolio. Responsibilities include: Setting clear performance expectations. Monitoring agreed KPIs. Managing day-to-day deliverables. Ensuring maintenance requests are followed through. Driving accountability and service excellence. Monitoring service quality. Supporting and developing team members. Ensuring effective communication across the facilities function. Tenant & Customer Relationship Management Tenant satisfaction is an important part of this role. You will: Build and maintain strong relationships with tenants. Conduct regular tenant visits. Understand tenant operational requirements. Respond to facilities-related tenant concerns. Manage and resolve tenant complaints. Redirect queries to the appropriate departments when required. Conduct scheduled tenant meetings. Communicate proactively regarding building and maintenance matters. Drive high levels of day-to-day tenant satisfaction. Building Inspections & Quality Management Conduct regular site and building inspections. Identify maintenance, operational and compliance concerns. Ensure appropriate quality checks are completed. Monitor building condition and presentation. Follow up on outstanding repairs. Ensure contractors complete work according to required specifications. Escalate significant building risks or operational concerns. Utilities Management Support the effective management of utilities across the property portfolio. Responsibilities include: Monitor utility-related issues. Ensure monthly meter readings are submitted to the relevant departments. Identify and report meter faults. Report suspected meter tampering. Monitor and report disconnection notices. Escalate utility risks and abnormalities. Work with relevant departments to resolve utility-related issues. Risk, Governance & Compliance Ensure facilities operations comply with relevant legislation and regulatory requirements. Proactively identify operational and facilities risks. Implement appropriate controls and procedures. Monitor compliance across the portfolio. Ensure processes and systems within your area of accountability are appropriately governed. Escalate significant risks and non-compliance. Support Health & Safety and statutory compliance requirements. Minimise operational and business risk through proactive facilities management. Reporting Prepare accurate monthly Facilities Management reports. Report on maintenance performance and outstanding matters. Monitor Facilities Management KPIs. Report service provider performance. Provide information required for management reporting. Ensure monthly utility readings are submitted accurately and on time. Identify trends, risks and areas requiring management intervention. What We're Looking For We are looking for a hands-on Facilities Manager who can confidently manage both buildings and people.
