EXPORT ADMINISTRATOR and INTERNAL SALES
Duties and Responsibilities
- Documentation Management: Prepare and review import and export documentation, including invoices, packing lists, bills of lading, and customs declarations to ensure accuracy and compliance.
- Capture and enter customer orders, follow up on quote and coordinate sales entry within dept
- Coordinate with internal departments: Collaborate with sales, purchasing, finance, and warehouse teams to align import and export activities with business goals and objectives.
- Tariff classification: Accurately classify imported and exported goods according to customs tariff codes to determine duty rates and ensure compliance with trade regulations.
- Cost optimization: Identify opportunities to minimize import and export costs through efficient shipping methods and optimal routing.
- Stay up-to-date: Stay informed about changes in international trade regulations, tariffs, and customs requirements to ensure compliance and adapt import/export processes accordingly.
- Responsibility for all aspects of export of goods including sales, customer service, legislation, and paperwork.
- Ensure compliance to legal requirements for exports and internal policies, and export procedures.
- Check export license requirements and other legislation (excise, dual-use, controlled) relating to our goods.
- Ensure compliance to all national and international regulations.
- Manage all communication with export authorities for all export destinations.
- Prepare all export documents within the required timeframe and schedule cost and time-efficient shipping activities.
- Monitor export sales transactions and review all customer responses for sales orders and payments.
- Resolve customer issues for export processes and procedures, and collaborate with customers to ensure smooth functioning of our export processes and requirements. • Maintain all export records for the business
- Assist with audits of the export process as required.
- Knowledge and understanding of Incoterms.
- Knowledge and understanding of trade tariffs and other associated customs procedures for future imports planned.
- Assist with the management of incoming goods, including customs clearance and compliance to all legislation relating to our goods.
- Understanding of completion of SADC Countries and completion of SADC forms.
- Ensure all necessary supplier paperwork is obtained in a timely manner and readily accessible.
- Communicate in a relevant manner with customs agents, freight forwarders and haulers regarding port arrivals and delivery of goods.
- Internal communication with our business sites regarding the delivery of goods to the site.
- Maintain all operational import records for the business.
Export Administrator Required Skills
- Strong knowledge of import and export regulations, customs procedures, and international trade practices.
- Excellent organizational and time management skills to handle multiple shipments and prioritize tasks effectively.
- Attention to detail to ensure accuracy in document preparation and compliance with regulations.
- Strong communication and interpersonal skills to collaborate with internal teams and external stakeholders.
- Proficiency in MS Office applications.
- Experience in working with ERP systems, order entry and data capturing
- Analytical skills to assess import/export costs, and identify cost-saving opportunities.
- Problem-solving skills.
- Ability to work under pressure and meet deadlines in a fast-paced environment.
Desired Experience & Qualification
MUST have IN-DEPTH KNOWLEDGE of EXPORT DOCUMENTATION and all the requirements.
Package & Remuneration
R16K - R20K basic salary.
