The successful candidate will occupy a senior, trusted and largely standalone position requiring exceptional organisation, discretion, judgement and follow-through. The role is split between managing personal and household affairs and providing structured executive support to a Financial Director.
Candidates from Pretoria and Johannesburg will be considered.
Duties & Responsibilities
Family Office Responsibilities
- Manage diaries, appointments and schedules, prioritising and protecting the principals' time.
- Draft, proofread and manage correspondence.
- Act as a trusted point of contact on personal matters.
- Arrange domestic and international travel, including flights, accommodation, transport, reservations and detailed itineraries.
- Plan and manage family events and functions from beginning to end.
- Anticipate and resolve problems before they become issues.
- Liaise with and oversee household staff, vendors and service providers.
- Maintain organised and accurate personal and administrative records.
- Manage records using Microsoft 365, OneDrive, SharePoint and Teams.
- Handle highly sensitive personal and financial information with absolute discretion and confidentiality.
Executive Assistant to Financial Director
- Take ownership of diary and meeting management.
- Schedule and prepare for internal and external meetings.
- Coordinate associated travel and logistics.
- Draft and proofread professional correspondence.
- Maintain accurate records and files within Microsoft 365.
- Assist with the circulation of Board and HR Committee papers and track outstanding action items.
- Act as a professional first point of contact with internal and external stakeholders when the Financial Director is unavailable.
- Provide efficient day-to-day administrative support across the Financial Director's business responsibilities.
Desired Experience & Qualification
- Demonstrated experience providing high-level executive, personal or administrative support.
- Strong track record of independently taking tasks and projects through to completion.
- Exceptional organisational and time-management skills.
- Excellent written and verbal communication.
- High level of discretion, confidentiality and professional judgement.
- Strong problem-solving ability.
- Ability to manage competing priorities across two principals.
- Strong proficiency in Microsoft 365, including:
- Outlook
- Word
- Excel
- OneDrive
- SharePoint
- Teams
- Calm, resilient and professional under pressure.
- Comfortable working full-time and fully on-site in Pretoria.
