Our client is a leading South African financial services group with a large-scale, established Digital and IT function supporting its investment and asset management business. The organisation is known for its professional culture, strong governance standards, and the scale of its operations offering genuine exposure to senior leadership for the right candidate.
This role exists to provide comprehensive administrative and executive support to senior leaders within the Digital and IT division, ensuring their time, information, and priorities are managed effectively. You'll act as a trusted right hand; managing complex diaries, coordinating high-stakes meetings, handling confidential information with discretion, and keeping the executive office running smoothly day to day.
This is more than a diary-management role. You'll be trusted with real financial administration (invoice and payment processing, credit card reconciliation, budget tracking) and will regularly interact with EXCO and MANCO-level stakeholders, both internally and externally.
Duties & Responsibilities
- Manage complex diaries and calendars for senior leadership, including scheduling meetings, workshops, and extended sessions
- Coordinate meeting logistics — confirming venues, setting up virtual links, and arranging catering where required
- Prepare agendas, take minutes, and follow up on action items after meetings
- Act as the primary point of contact between the senior leader and internal/external stakeholders
- Screen and prioritise incoming emails and calls
- Manage corporate credit card transactions, expense claims, and invoice/contractor payments
- Track software licensing, recurring payments, and support budget management for the team
- Create, edit, and enhance presentations and reports for senior leadership
- Prepare for MANCO and Board meetings — monitoring meeting packs, printing documents, and ensuring action items are ready
- Arrange complex domestic and international travel, accommodation, and visa documentation
- Coordinate team events, functions, and offsite sessions
- Oversee office supplies, equipment, and day-to-day office administration
- Support the onboarding of new team members, ensuring they're set up with the right systems access
- Assist with the planning and execution of special projects and initiatives
Desired Experience & Qualification
- Bachelor's degree in Business Administration, Management, or a related field.
- 5–7 years' experience in a similar Executive Assistant / Personal Assistant role, preferably within financial services.
- Proven experience supporting EXCO and MANCO-level leaders, ideally concurrently
