Our client in the FMCG industry is seeking to employ an Executive Personal Assistant to join their team based in Humansdorp.

Requirements
- Matric (Grade 12) is essential.
- A relevant tertiary qualification in Office Administration, Business Administration, Public Management, or a related field is strongly preferred.
- 8–10 years' experience in a similar Executive Personal Assistant or Executive Assistant role.
- Proven experience supporting a CEO, Executive Committee (Exco), Board members, or other senior executives.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
- Strong report writing, proofreading, and editing skills.
- Excellent written and verbal English communication skills.
- Strong organisational, planning, and time management abilities.
- High level of professionalism, discretion, and confidentiality.
- Ability to work accurately under pressure and meet strict deadlines.
- Strong interpersonal skills with the ability to engage stakeholders at all organisational levels.
- Excellent attention to detail and administrative skills.
- Experience coordinating executive travel, meetings, and calendars.
- Experience preparing presentations, reports, and executive correspondence.
- Financial administration experience, including purchase orders, invoicing, and payments, is advantageous.
Responsibilities
- Provide comprehensive administrative and clerical support to the CEO, Exco members, and the Chairman as required.
- Act as the primary point of contact between executives and internal and external stakeholders.
- Manage executive calendars, appointments, meetings, and scheduling.
- Coordinate Board, Committee, and Executive meetings.
- Arrange domestic and international travel, accommodation, and itineraries.
- Prepare reports, presentations, correspondence, and executive documentation.
- Conduct research and compile information for reports and presentations.
- Proofread and edit reports, presentations, emails, and other business documents.
- Attend meetings, record accurate minutes, and distribute meeting outcomes.
- Maintain an effective electronic and physical document management system.
- Manage incoming communications and prioritise matters requiring executive attention.
- Process electronic purchase orders and facilitate payment requests.
- Compile travel-related finance documentation and invoice submissions.
- Ensure office supplies are adequately maintained.
- Coordinate visitor arrangements, including PPE requirements.
- Source, compile, and proofread submissions for the company newsletter.
- Maintain confidentiality of sensitive executive and company information.
- Build and maintain effective relationships with internal and external stakeholders.
- Provide ad hoc executive support as required.
