About the Company
Our client, a well-established manufacturer of underground mining machinery, is looking for an experienced Executive PA to support its Managing Director and Chief Operations Officer. This is a key role in the executive office, suited to a polished, discreet professional who thrives in a fast-paced environment and enjoys being at the centre of the business.
The Role
You'll provide strategic and administrative support to the MD and COO, managing communications, coordinating diaries, safeguarding confidential information, and making sure executive priorities are executed smoothly. Duties & Responsibilities
Key Responsibilities Executive Support
- Follow up on instructions, reports, actions, and feedback from managers on behalf of the MD/COO
- Take minutes at executive meetings, including EXCOM and OPSCO
- Arrange international travel, including visas, flights, itineraries, forex, and accommodation
- Prepare professional, well-structured presentations aligned with corporate branding
Executive Administration
- Maintain and organise executive documentation, reports, contracts, and legal records
- Manage catering and hosting of company guests, including accommodation and transport
- Handle general correspondence, reports, and communications
Administrative & Financial Admin
- Administer credit card reconciliations and expense claims (verification and submission for approval)
- Manage executive kitchen supplies and document deliveries as needed
Projects & Stakeholder Engagement
- Assist management with ad hoc projects and requests
- Liaise with board members, senior clients, and external partners
- Handle urgent executive requests and manage disruptions effectively
Minimum Requirements
- Grade 12 / Matric
- Degree in Business Administration, Office Management, or a related field
- Minimum 5 years' experience in an Executive PA role
- Proven experience in executive-level support, diary management, and travel coordination
- Advanced MS Office (Word, Excel, PowerPoint, Outlook)
- Proficiency in Teams, Zoom, project management software, and digital expense/travel platforms
- Strong written and verbal communication skills
- High level of discretion and professionalism with confidential information
Advantageous
- Certification in Secretarial Studies or Project Management
