The Executive PA will serve as the primary administrative anchor and gatekeeper for the Group of Directors, managing workflows across multiple holding company entities. This role requires an exceptionally adaptable, high-energy professional who thrives in a fast-paced environment and possesses a "no task too big or small" attitude. The ideal candidate understands the dynamic nature of supporting multiple principals, remains highly accessible outside standard office hours to handle urgent requests, and seamlessly manages competing priorities without dropping the ball.
Key Responsibilities
- Proactively manage, synchronise, and de-conflict the calendars of multiple Group Directors, balancing competing priorities across different business entities.
- Act as the central gatekeeper, filtering high-volume email correspondence, flagging critical issues, and drafting responses on behalf of the directors.
- Anticipate schedule changes and rapidly realign agendas, briefings, and logistics
- Provide comprehensive, round-the-clock administrative support as required, remaining accessible outside standard working hours to handle ad-hoc, time-sensitive tasks or urgent changes.
- Coordinate complex domestic and international travel portfolios (flights, accommodation, visas, and ground transit) across multiple time zones, providing real-time tracking and disruption management.
- Assist with ad-hoc personal tasks and private requests for the directors to ensure their professional focus remains uninterrupted.
- Facilitate communication and information flow between the holding company directors and the leadership teams of the smaller group entities.
- Prepare, compile, and distribute comprehensive briefing packs, board papers, agendas, and technical presentations.
- Coordinate and attend multi-stakeholder meetings, taking accurate minutes and tracking action items to hold internal teams accountable.
- Manage and reconcile multi-currency expense accounts, corporate credit cards, and travel invoices across different entity budgets.
- Maintain strict confidentiality regarding sensitive group financials, mergers and acquisitions, and strategic data.
Skills and Qualifications
- Experience: 7+ years of experience as an Executive Assistant or Personal Assistant, ideally within a corporate group, holding company, or multi-director framework.
- Resilience & Availability: Proven track record of operating effectively under high pressure with a flexible mindset regarding working hours and out-of-office accessibility.
- Prioritisation Skills: Exceptional ability to manage up, negotiate conflicting demands from multiple principals politely but firmly, and keep all parties aligned.
