Introduction
An established organisation is seeking an experienced and highly professional Executive Personal Assistant to provide strategic and administrative support to the Managing Director and Chief Operations Officer.
This role is responsible for managing executive schedules, travel arrangements, executive communications, stakeholder engagement and confidential information while ensuring the smooth execution of executive priorities. The successful candidate will also support Heads of Department across the business and play a key role in maintaining operational efficiency.
The ideal candidate will be highly organised, proactive, professional and capable of working effectively in a fast-paced environment while maintaining exceptional attention to detail and discretion.
Duties & Responsibilities
Executive Support
- Follow up on instructions, reports, actions and feedback from management as requested by the MD and COO.
- Take minutes for executive meetings, including EXCOM and OPSCO meetings.
- Arrange international travel, including visas, flights, accommodation, itineraries, forex and transportation.
- Prepare professional PowerPoint presentations for internal and external meetings, ensuring alignment with company branding and communication standards.
- Manage executive communications and correspondence professionally and efficiently.
- Coordinate executive schedules, meetings and appointments.
Executive Administration
- Maintain and organise executive documentation, reports, contracts and legal records.
- Coordinate catering, accommodation and transportation for company guests and visitors.
- Assist with documentation, reports, minutes, correspondence and executive communications.
- Maintain filing systems and ensure all records are accurately stored and updated.
Financial & Administrative Support
- Administer and reconcile company credit card transactions.
- Process, verify and submit expense claims for approval.
- Manage executive kitchen and grocery allocations to ensure adequate office supplies are maintained.
- Deliver and distribute business documentation as required.
Stakeholder Management
- Liaise effectively with board members, senior management, clients and external stakeholders.
- Act as a key communication link between executives and stakeholders.
- Build and maintain strong professional relationships across the organisation.
Ad Hoc Projects & Support
- Assist management with ad hoc projects and special requests.
- Provide support to Heads of Department across the business when required.
- Respond effectively to urgent executive requests and business disruptions.
- Provide after-hours and weekend support when business requirements demand.
Desired Experience & Qualification
- Grade 12 / Matric.
- Degree in Business Administration, Office Management or a related field.
- Certification in Secretarial Studies or Project Management will be advantageous.
- Minimum 5 years' experience as an Executive Personal Assistant.
- Proven executive-level support experience.
- Strong diary management and travel coordination experience.
- Strong administrative, filing, reporting and documentation management experience.
- Experience handling confidential information with discretion and professionalism.
- Strong stakeholder engagement and relationship management experience.
- Experience supporting senior executives within a corporate environment.
Technical Skills
- Advanced Microsoft Office proficiency (Word, Excel, PowerPoint and Outlook).
- Proficiency in Microsoft Teams, Zoom and similar collaboration platforms.
- Experience using project management software.
- Experience using digital travel and expense management platforms.
- Strong document management and reporting capabilities.
