• SA Citizen • Matric / Grade 12 qualification • Diploma or degree in Business Administration, Hospitality Management, Office Administration, or a related field. • Minimum 2 years' experience in an executive assistant to the General Manager role, personal assistant, hotel administration, or similar senior administrative role. • Professional and friendly disposition • Strong organisational, time-management, and multitasking abilities • Professional appearance and excellent interpersonal skills. • Previous experience in a 4-star or 5-star hotel environment will be preferable. • Ability to work collaboratively with cross-functional teams and communicate effectively at all levels of the organization • Strong administrative, planning and organising skill • Excellent written and verbal communication skills. • High level of confidentiality, discretion, and integrity. • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook. • Ability to work independently, take initiative, and meet deadlines. • Strong attention to detail and problem-solving skills. • Flexibility to work in a fast-paced hospitality environment. • Reside in Cape Town • Have own, reliable transport Key Responsibilities:
- Provide comprehensive administrative and operational support to the General Manager as required.
- Manage the General Manager's diary, appointments, meetings, and schedules.
- Prepare correspondence, reports, presentations, minutes, and other management documents.
- Coordinate internal and external meetings and follow up on action items.
- Maintain accurate and handle confidential information, records and documentation with discretion and professionalism.
- Liaise with department heads, hotel staff, guests, suppliers, and external stakeholders.
- Handle telephone calls, emails, correspondence, and enquiries professionally.
- Assist with hotel projects, events, meetings, inspections and special assignments and management initiatives as required.
- Monitor deadlines and ensure follow-up on tasks delegated by the General Manager.
- Prepare and distribute internal communications as required.
- Assist in preparing management reports, presentations and operational
- information.
- Maintain an efficient filing and document management system.
- Support communication between the General Manager and hotel departments.
- Maintain a high level of confidentiality regarding hotel, guest, employee, and
- business information.
- Represent the General Manager's office in a professional and courteous manner.
- Perform any other reasonable duties assigned by the General Manager.
