We are looking for a dynamic, proactive and forward-thinking Executive Assistant to work closely with the CEO of a growing property development group. This is not a traditional PA role focused solely on diary management and administration. While the successful candidate will remain responsible for the CEO’s diary, meetings, travel arrangements and limited personal administrative requirements, the primary focus will be on supporting the CEO in driving business priorities and ensuring that decisions and commitments are followed through across the group. The ideal candidate will be organised, commercially aware, energetic and able to anticipate what needs to happen next, take initiative and work independently without constant supervision. The role will also provide administrative and compliance support to the CFO, particularly in relation to KYC, FICA, banking documentation and group administration
Executive Support to the CEO
Manage the CEO’s diary, coordinate meetings and ensure priorities are effectively managed. Arrange business travel, accommodation and related logistics. Assist with limited personal administrative requirements, including visa applications and related travel documentation when necessary. Prepare meeting agendas, briefing notes, presentations and supporting documents. Attend selected EXCO, divisional and project meetings where required. Maintain a record of key decisions, action items, responsibilities and deadlines. Coordinate follow-ups with EXCO members and divisional heads to ensure agreed actions are completed. Proactively identify outstanding matters, anticipate upcoming requirements and flag issues requiring the CEO’s attention. Handle correspondence and confidential information professionally and discreetly.
Business Coordination and Follow-Through
Work closely with the CEO to understand key business priorities and strategic initiatives. Coordinate actions and deliverables across the group’s various divisions. Maintain a central action tracker and provide regular updates on progress and outstanding matters. Follow up directly with relevant stakeholders to keep commitments and deadlines on track. Identify potential delays or obstacles and suggest practical solutions. Take ownership of delegated projects and assignments, ensuring they are progressed through to completion. Help improve internal processes, communication and accountability across the group. The role requires someone who can confidently engage with senior management, ask the right questions and drive follow-through, while recognising that responsibility for divisional performance remains with the relevant EXCO member or divisional head.
CFO Support and Group Administration
Assist with KYC, FICA, banking and due diligence requirements across the group. Coordinate the collection of company, director and shareholder documentation. Maintain compliance records, registers and supporting documentation. Track outstanding requirements, submissions and renewal deadlines. Assist with company secretarial documentation, resolutions and banking mandates. Provide general administrative and project support to the CFO as required.
