Our client is seeking an exceptional Executive Assistant to provide high-level support to the Chief Executive Officer. This is far more than a traditional administrative role. We are looking for a highly organised, emotionally intelligent, and proactive professional who can serve as a trusted partner to the CEO, manage critical relationships, coordinate governance structures, and ensure the seamless operation of the Office of the CEO. Our client is looking to employ an Executive Assistant based in Northern Suburbs, Cape Town
RESPONSIBILITIES
Strategic and Executive Support Manage and coordinate the Office of the CEO.
• Act as a key liaison between the CEO, executives, stakeholders, industry partners, and members. • Ensure effective management and escalation of enquiries, complaints, and correspondence. • Support strategic projects and initiatives directed by the CEO. • Maintain the highest standards of confidentiality and discretion. Governance and Committee Coordination
• Coordinate Council, Board, Trustee, and Committee meetings. • Prepare meeting packs, agendas, minutes, and supporting documentation. • Manage meeting logistics, venues, technology, and stakeholder communications. • Coordinate attendance fees and payments to relevant parties. • Ensure governance processes are administered efficiently and accurately. Project and Event Management
• Plan and coordinate executive events, projects, workshops, and meetings. • Monitor project timelines and ensure deliverables are executed effectively. • Support committee activities and stakeholder engagements. Executive Administration
• Prepare professional reports, presentations, correspondence, and communication materials. • Manage executive calendars, schedules, travel arrangements, and meetings. • Administer expense reporting, budget tracking, and reimbursement processes. • Ensure compliance with corporate branding and communication standards. Requirements:
- Postgraduate qualification in Business Administration, Office Management, or a related field.
- 5-8 years extensive Executive Assistant experience supporting senior executives in a high-pressure professional environment.
- Proven experience coordinating executive-level meetings, governance structures, and stakeholder engagement
- Accurate minute taking is essential
- Advanced Microsoft Office skills, including Word, Excel, PowerPoint, Outlook, and SharePoint.
- Strong technological aptitude with the ability to identify and implement productivity-enhancing tools.
- Valid Drivers' license and own transport is a must!
