Introduction

We are creating this role to give our CEO proper executive support, and, just as importantly, to give our New Business & Developments division dedicated administrative capacity it does not currently have. This is deliberately not a role that spends all its time on the CEO's personal diary. A defined portion of the week belongs to New Business, and we need someone who can hold both without either side losing out.

We are looking for a structured, professional operator, not someone who will let New Business slip whenever the CEO's calendar gets busy, and not someone who treats New Business support as an afterthought to the “real” job of supporting the CEO.

Duties & Responsibilities

Role Overview

The Executive Assistant provides diary, correspondence, travel and meeting support to the CEO, and provides structured administrative and coordination support to the New Business & Developments division. The role reports to the CEO and works closely with the New Business & Developments team on a day-to-day basis.

Where the Role Fits

New Business & Developments division drives the pipeline of new deals, leases and developments. This role gives the CEO capacity while making sure the division's administrative load does not fall through the cracks between the CEO's competing priorities.

Core Responsibilities — CEO Support

  • Diary & scheduling: Manage the CEO's calendar, meetings and travel.
  • Correspondence: Draft and manage correspondence, and screen and prioritise on the CEO's behalf.
  • Meeting support: Prepare agendas, papers and minutes for CEO-chaired meetings, and track follow-up actions.
  • Confidentiality: Handle sensitive strategic and personal information with discretion.
  • Core Responsibilities — New Business & Developments Support
  • Pipeline administration: Maintain deal and pipeline trackers, meeting schedules and document files for New Business & Developments.
  • Meeting & document support: Prepare packs, minutes and correspondence for New Business meetings with prospective tenants, developers and partners.
  • Coordination: Liaise between the CEO, the New Business team and other departments to keep New Business items moving.

Desired Experience & Qualification

Essential attributes

  • Dual-stakeholder organisation: Proven ability to manage two demanding sets of priorities at once, without either side being neglected.
  • Executor mindset: A self-starting doer who takes ownership of outcomes and works independently with minimal direction.
  • Communication: Clear, professional written and verbal communication.
  • Trustworthy: Proven discretion in handling confidential and commercially sensitive information.
  • Tech: Strong Microsoft 365 proficiency (Outlook, Word, Excel, OneDrive, SharePoint, Teams).
  • Composure: Calm and professional under pressure and changing priorities.

Desirable

  • Experience supporting a senior executive alongside a separate operational or deal-making team.
  • Exposure to a property, real estate, development or new business environment.

Valid driver's licence and own reliable transport

Package & Remuneration

What We Offer

  • A market-related package, indicatively R30,000 – R45,000 per month depending on experience
  • A defined, dual-purpose role at the heart of both executive support and the deal-making side of the business.
