Introduction

Newmark Estate is seeking an experienced, professional and hands-on Estate Manager for a 5-year fixed-term contract to take responsibility for the day-to-day management and administration of the estate and the effective implementation of the Board of Directors' decisions.

This is a senior management opportunity for an organised, financially astute and solutions-driven professional who can effectively oversee estate operations, staff, contractors, service providers, maintenance, finances, governance, compliance and homeowner relations.

The successful candidate will work closely with the Board of Directors and key stakeholders to ensure that Newmark Estate is professionally managed, well maintained and consistently delivers a high standard of service to its residents.

Key Responsibilities

  • Manage the overall day-to-day operations and administration of Newmark Estate.
  • Implement and execute decisions and resolutions of the Board of Directors.
  • Manage, supervise and coordinate estate staff, contractors and service providers.
  • Oversee security, landscaping, maintenance, cleaning, refuse removal and other estate services.
  • Monitor contractors and service providers against agreed SLAs, contracts and service standards.
  • Assist with the preparation and management of the annual estate budget and monitor expenditure.
  • Work closely with the finance function regarding levies, payments, budgets and financial matters.
  • Ensure effective estate administration and accurate maintenance of records.
  • Prepare reports, correspondence, meeting documentation and information required by the Board.
  • Manage supplier tender processes, contracts and service-level agreements.
  • Assist with the preparation and coordination of Board meetings, Annual General Meetings (AGMs) and other member meetings.
  • Maintain sound corporate governance and ensure compliance with applicable legislation, the estate's MOI, rules and policies.
  • Represent the HOA on tax matters in the capacity of the registered Public Officer.
  • Deal professionally and efficiently with homeowner queries, complaints and disputes.
  • Ensure that estate rules and regulations are applied consistently and fairly.
  • Liaise with homeowners, trustees/directors, managing agents, attorneys, contractors, municipalities and other stakeholders.
  • Oversee the maintenance and upkeep of common property and estate infrastructure.
  • Identify operational and financial risks and make appropriate recommendations to the Board.
  • Manage emergencies and operational issues as they arise.
  • Maintain professional relationships with residents while protecting the interests of Newmark Estate.
  • Ensure ongoing compliance with relevant legislative and regulatory requirements.

Minimum Requirements

  • NQF Level 7 qualification in a relevant field.
  • 3–5 years' experience in estate management, residential property management or a closely related environment.
  • Proven experience managing staff, contractors and service providers.
  • Experience in financial management, budgeting and tax matters.
  • Knowledge of occupational health and safety, property compliance and applicable legislation.
  • Experience dealing with Boards of Directors, trustees and homeowners.
  • Knowledge of the Companies Act 71 of 2008.
  • Understanding of corporate governance and business ethics.
  • Excellent written and verbal communication skills.
  • Strong organisational and time-management abilities.
  • Computer literacy, including proficiency in Microsoft Office.
  • Ability to work independently, take initiative and make sound decisions.
  • Professional, diplomatic and service-oriented approach.
  • Valid driver's licence.

Advantageous

  • Relevant industry or estate management certification.
  • Previous experience managing a residential estate, HOA or community scheme.
  • Experience with Board reporting, estate governance and homeowner relations.
  • Experience managing tenders, contracts and service-level agreements.
  • Knowledge of estate infrastructure, facilities and maintenance operations.
