- Pepkor Speciality is seeking a detail-oriented eCommerce Administrator to support the general administration related to financial invoices, customer refunds and returns administration within our eCommerce team.
- This position requires strong organisational skills, process ownership, and the ability to flag and resolve issues quickly to maintain customer satisfaction and operational efficiency.
Qualifications
- Grade 12 National Senior Certificate essential
- Tertiary qualification in Office Administration preferred
Knowledge, Skills and Experience
- 2 - 3 years in an e-commerce administration role and dealing with customer orders
- Experience with returned stock processes within a DC is advantageous
- Experience with customer returns and communication with customers
- Working with budgets and numbers
- Working knowledge of G Suite or Microsoft especially Google sheets or Microsoft Excel
- Basic mathematical understanding and good numerical ability
- Good communication and interpersonal skills
- Problem-solving skills
- Ability to work independently as well as in a team
- Deadline driven
- Planning and organisational skills
- Customer service skills
Key Responsibilities
- Supplier and invoice management:
- Onboard and manage vendors, ensuring compliance with company policies.
- Coordinate payments, including uploading invoices and reconciling accounts.
- Customer Refund administration
- Coordinate and track customer refunds in collaboration with the eCommerce Operations Lead and Finance.
- Track all refunds in the pipeline to ensure completion and customer resolution.
- Returns administration:
- Maintain accurate administrative records of eCommerce returns, refund status and related financial adjustments.
- Partner with the eCommerce Operations Lead to resolve discrepancies between physical return status and financial records.
- Track unresolved return/refund cases from an administrative and financial perspective.
- General departmental administration and reporting to support the team
