Job Description

  • Responsible for performing all clerical tasks related to Dispatch/ Warehousing administration activities, as well as the capturing of all dispatch information onto the required reports in alignment with predefined work objectives as per agreed standard operating procedures.

Requirements

  • Grade 12 / NQF Level 4 Equivalent.
  • At least 3 years' experience in Warehousing/ Distribution environment.
  • Diploma in Logistics/ Supply Chain Management will be an advantage.
  • Working knowledge of NAV will be a definite advantage.
  • Must be Computer literate Microsoft Package.
  • A willingness to work overtime, shifts and weekends when required.

Duties and Responsibilities

  • Provide administrative support to the Warehouse & Distribution Manager, Snr Supervisors, Supervisors, Sales- and other Depts when and where needed.
  • Document Control – compile, edit, record, file and capture documents.
  • Ensure that all CHEP pallets received and issued are captured daily.
  • Conduct spot-checks on loads picked and loaded to ensure accuracy.
  • Liaise and correspond with the Sales Dept. when and where needed.
  • Obtain Production Plan from Operations Administration.
  • Create orders, fill in loading books, CHEP slips and other Dispatch documentation.
  • Place orders on the board and confirm orders according to route planning.
  • Handle the Dispatch team queries related to orders placed.
  • Coordinate changeovers in admin documentation, outstanding orders and delivery information when and where needed.
  • Ensure correct data capturing and updating of information on excel and SharePoint.
  • Ensure all Reports are submitted on time.
  • Work out the fresh production plan as per order received.
  • Ensure that quantity balance with the orders.
  • Assist with truck loading as per SOP to ensure 100% loading efficiency.
  • Record loading information on relevant computer sheets & printed copies when and where needed
  • Complete all documentation accurately and in full - Range: Documents include but are not limited to
  • Customer Service Sheet
  • Production Planning – Fresh
  • Loading Information Papers
  • CHEP Control
  • Capture all documentation accurately and on time.
  • Ensure that all credits are processed accurately in terms of the SOP.
  • Any other duties as may be required by management.
