Dispatch Manager - Car Rental

Introduction

The Dispatch Manager based at our King Shaka Intl. Airport depot, makes sure the right vehicles are in the right place, at the right time, in the right condition, with the right equipment, and that the team is organised to make this happen.

We need someone who is highly organised, good at managing people and vehicles, able to solve problems quickly, comfortable working in a fast-paced environment, and focused on providing good customer service.

Key Responsibilities

• Drive daily fleet readiness – Ensure vehicles are clean, prepared, available and ready for customer bookings, vehicle changes and special requests.

• Manage vehicle deliveries and collections – Plan and oversee the safe, efficient and timely delivery and collection of rental vehicles.

• Monitor fleet availability and movement – Maintain accurate oversight of vehicle locations, availability, allocation and fleet status.

• Coordinate fleet changes and breakdowns – Assist with vehicle breakdowns, fleet additions and removals, buybacks and other fleet-related activities.

• Manage unavailable vehicles – Monitor and control vehicles temporarily unavailable for rental, ensuring accurate records and follow-up.

• Manage fuel and operational supplies – Monitor fuel and other required supplies, ensuring availability and responsible usage.

• Manage staff scheduling and coverage – Prepare and monitor shift and leave schedules to ensure adequate operational coverage.

• Resolve customer queries and complaints – Address customer and fleet-related queries promptly, accurately and professionally.

• Monitor regional fleet operations – Maintain oversight of fleet availability and operational requirements across the region.

• Maintain depot standards – Oversee depot maintenance, housekeeping, safety and general presentation to ensure the depot remains operationally fit for purpose.

• Ensure compliance and operational standards – Ensure all activities comply with company policies, procedures, safety requirements, departmental standards and POPIA requirements.

• Complete daily administration and reporting – Ensure all required documentation, system updates, reports and administrative tasks are completed accurately and on time.

• Lead and develop the team – Drive accountability and performance through effective coaching, counselling, performance management and employee development, including disciplinary processes where required.

• Protect company and customer interests – Build professional relationships with customers, colleagues and business partners while making sound operational decisions that support the business and customer experience.

Minimum Requirements, Qualifications & Experience

• Matric / Grade 12 essential.

• Relevant qualification in Fleet Management, Logistics, Transport, Operations or a related field will be advantageous.

• 3–5 years’ experience in vehicle fleet management , preferably within the car rental, automotive, transport or mobility industry.

• Proven experience in managing vehicle fleets, fleet availability, vehicle movements, deliveries and collections .

• Strong understanding of vehicle allocation, fleet readiness, maintenance coordination and vehicle utilisation .

• Experience in leading and managing a team , including scheduling, performance management and staff development.

• Strong administrative, organisational and problem-solving skills , with excellent attention to detail.

• Ability to work in a fast-paced operational environment , prioritise competing demands and meet deadlines.

• A valid driver’s licence is essential.

• Be willing to work on weekends, public holidays, shifts and overtime when required.
