Job Description

  • To source, engage and monitor fit-for-purpose external capabilities that support IDC Business Partners
  • Support and enable access to qualified, vetted and suitable candidates that deliver functional support entailing, amongst others, management, technical, operational, financial, turnaround and M&A expertise to Business Partners within agreed timelines and quality expectations.
  • Collaborate with other internal and external stakeholders

Qualification and Experience

  • Bachelor's degree in Commerce, Supply Chain Management, Procurement, Business Administration, Economics, Finance, Law, Project Management, Information Systems, Management or a related field
  • A relevant postgraduate qualification
  • Training or certification in sourcing, project administration, or data analytics
  • 3 years relevant experience in sourcing, professional services coordination or service provider management
  • Exposure to panel management, service provider onboarding, implementation monitoring, and invoice/timesheet tracking
  • Experience in coordinating multiple requests involving internal stakeholders, Business Partners and service providers
  • Working under pressure, meeting turnaround requirements and producing quality output
  • Exposure to professional services sourcing, service provider management and SME support is essential

Roles and Responsibilities

Financial / Shareholder Returns

  • Source fit-for-purpose external capabilities: Support Specialists/Associates/Other Stakeholders to strengthen Business Partner performance, sustainability and delivery of approved intervention outcomes.
  • Track capability sourcing requests, service-provider deliverables and progress: including panellist engagements, Letters of Engagement, implementation progress, timesheets, invoices, payments and related spend information to support budget discipline and value realisation.
  • Impact evaluation: sourced capabilities achieve intended functional outcomes, execution readiness, efficiency improvement and Business Partner satisfaction.
  • Evidence-based reporting: on intervention progress, service-provider performance and impact to support portfolio oversight and continuous improvement.

Internal / Operational Processes

  • Execution support across the Capability Sourcing delivery process: receive requests; validate scopes of work; conduct panellist briefs and coordinate bid evaluation, engage and hand over service providers; and monitor and review progress. Maintain and update various trackers: panelist allocation records, scope status, bid
  • response information, evaluation packs, appointment documents, Letters of Engagement, implementation milestones and portfolio-of-evidence packs.
  • Match requests to the appropriate catalogue of services and panelist capability: Support stakeholders in checking whether requests can be addressed internally before external sourcing is initiated
  • Coordinate documentation control: required to issue scopes of work to shortlisted panellists and support timely turnaround from receipt of complete request information to panel briefing and appointment.
  • Coordinate meetings/engagements: kick-off sessions, information requests and follow-ups between different stakeholders.
  • Pursue continuous sourcing improvement: Document lessons learned, service provider performance insights, turnaround constraints and improvement opportunities to help refine future ToRs, panel utilisation and sourcing processes.

Customer Focus & Stakeholder Management

  • Clarity of Customer needs/requirements: attend and support various stakeholder engagements to clarify capability needs, timelines, scope requirements and expected outcomes.
  • Customer/Stakeholder Liaison: Liaise with Business Partners, service providers and internal stakeholders to coordinate information flow, meeting logistics, kick-off arrangements, handovers and implementation updates.
  • Communicate sourcing progress, bottlenecks, risks and next steps: by preparing clear request summaries, briefing notes, status updates, dashboards and reports that. Maintain professional, responsive and confidential communication: with panellists, Business Partners and internal stakeholders while supporting timely execution and customer service satisfaction.
  • Escalate to seniors: incomplete requests, scope ambiguities, delays, service provider performance concerns and delivery risks

Learning, Leadership & People Growth

  • Build capability in professional services sourcing, panel administration, procurement support, Terms of Reference development, bid coordination, service provider engagement and implementation monitoring.
  • Learn from Specialists, Senior Specialists, service providers and stakeholder feedback to improve request screening, documentation quality, process discipline, service orientation and turnaround performance.
  • Contribute to a Capability Sourcing knowledge repository: by capturing lessons learned, common sourcing issues, panellist performance insights, reusable templates and process-improvement opportunities.
  • Demonstrate accountability, accuracy, agility and continuous improvement in supporting multiple sourcing requests and Specialist-led workstreams.
