- We are seeking a highly organised and detail-oriented Buyers Assistant to support a busy Buying Department. The successful candidate will provide administrative, reporting, data management and operational support to the Buyers, while ensuring accurate product and order information is maintained.
Minimum Requirements
- Matric is essential.
- Minimum 2 years' experience in a similar administrative role or within a retail environment.
- Experience in retail buying will be advantageous.
- A qualification in Fashion Design or a similar administrative field will be advantageous.
- Valid Code 8 driver's licence.
- Advanced Microsoft Excel skills.
- Strong data capture and data management abilities.
- Excellent administrative and organisational skills.
- Strong numeracy and literacy skills.
- Excellent communication skills.
- Strong time management skills and the ability to work effectively in a demanding environment.
- Strong analytical and problem-solving abilities.
- Ability to work independently as well as within a team.
- Highly adaptable and able to respond to changing departmental requirements.
Key Responsibilities
Order Administration
- Update Open to Buy OTB sheets and communicate relevant information to Buyers.
- Maintain administration relating to products and orders placed by Buyers.
- Conduct product and order control checks to ensure data accuracy and integrity.
- Manage product tagging and courier requirements.
Reporting
- Follow up on outstanding orders and provide feedback to Buyers.
- Compile competitive pricing reports.
- Assist Buyers with reports relating to best and worst sellers, promotional products and other departmental requirements.
Delivery & Quality Approvals
- Check product deliveries against Buyer order specifications.
- Assist with product quality approval processes using samples received from the warehouse.
Sample Control
- Follow up with suppliers regarding outstanding samples.
- Maintain accurate sample records and archiving processes.
- Prepare samples for reviews and promotional activities.
- Compile review outcome documentation.
- Assist with sample management during promotional processes and ensure products are used correctly on behalf of the Buyers.
Store Support
- Provide timely feedback to relevant stakeholders regarding store and customer enquiries.
