- Proactively manage the Managing Director's complex diary, meetings and competing priorities.
- Coordinate domestic and international travel, including flights, accommodation, visas and detailed itineraries.
- Manage and prioritise correspondence and act as a professional first point of contact for the MD.
- Liaise confidently with senior executives, board members, clients and external stakeholders.
- Prepare agendas, presentations, briefing documents and supporting documentation for executive and board meetings.
- Take accurate minutes and ensure follow-up actions are tracked through to completion.
- Handle highly confidential business and personal information with absolute discretion.
- Provide support on strategic projects, research, reporting and ad hoc business initiatives.
- Coordinate internal company communications and ensure messaging is clear, professional and aligned with business priorities.
- Take ownership of company functions and events, including planning, budgeting and execution.
- Liaise with internal departments to ensure alignment on priorities and deadlines.
- Assist with expense claims, invoices and budget tracking relating to the MD's office.
Requirements
- Minimum 5 years' experience as an Executive Assistant, Business Manager or Personal Assistant supporting a C-suite or MD-level executive.
- Proven experience managing complex executive diaries, travel arrangements and board-level administration.
- Experience with internal communications and/or company events will be advantageous.
- Relevant tertiary qualification in Business Administration, Office Management or a related field is advantageous.
- Advanced proficiency in MS Office, including Outlook, Word, Excel and PowerPoint.
- Strong written and verbal communication skills.
- Exceptional organisational and time-management abilities.
- High level of discretion, professionalism and emotional intelligence.
- Strong stakeholder management skills across all levels of seniority.
- Ability to work independently, take initiative and anticipate the needs of a senior executive.
- Valid driver's licence and own reliable transport.
