- The Benefits Coordinator is responsible for the effective administration of employee benefits and payroll support functions, ensuring accurate processing of claims, contributions, reconciliations, reporting, and compliance with statutory and company requirements. The role serves as a key liaison between employees, benefit providers, payroll, finance, and other stakeholders, delivering professional support while maintaining accurate records and ensuring the timely resolution of employee benefit and payroll matters.
Minimum Requirements Qualifications & Experience
- Grade 12 Matric is essential.
- A relevant BCom degree or related tertiary qualification will be advantageous.
- Minimum of 5 years' payroll administration experience, preferably within a medium to large organisation.
- Proven experience working with the Sage 300 People payroll system, including payroll processing and report writing.
- Sound understanding and practical experience of General Ledger reconciliations and payroll accounting processes.
- Experience working with the Syspro financial system will be advantageous.
- Experience in employee benefits administration, including retirement funds, medical aid schemes, and related benefit structures.
Technical Knowledge
- Strong knowledge of payroll legislation, tax regulations, and statutory requirements applicable in South Africa.
- Sound understanding of employee benefits administration and systems used to support benefit processes.
- Advanced computer literacy, with a high level of proficiency in Microsoft Excel and related Microsoft Office applications.
- Ability to analyse payroll and benefits data, identify discrepancies, and implement corrective actions.

Duties and Responsibilities Employee Benefits
- Serve as the primary liaison between the company and external benefit service providers, ensuring effective communication and resolution of benefit-related matters.
- Manage and coordinate various employee benefit claims, ensuring compliance with agreed service level agreements SLAs and turnaround times.
- Facilitate and support employee benefit presentations, information sessions, and awareness initiatives.
- Verify the completeness and accuracy of all claim documentation prior to submission to third-party benefit providers.
- Monitor the progress of submitted claims and provide timely, accurate, and professional feedback to employees, management, and external stakeholders.
- Track employee retirement dates and provide guidance and administrative support throughout retirement and withdrawal processes.
- Maintain accurate, complete, and secure records of all employee benefit documentation and transactions.
- Ensure employee benefit contributions are correctly calculated and applied in accordance with fund-specific rules and requirements.
- Prepare and distribute monthly benefit administration reports, including Contribution Reconciliation Reports, Interface Reports, External Payment Reports, and other related reports.
Payroll Support
- Assist with payroll administration activities, including capturing and processing payroll inputs, recording working hours, maintaining payroll control records, calculating leave balances, and supporting payroll processing activities.
- Review payroll data to ensure accuracy, completeness, and compliance with company policies and statutory requirements.
- Respond to employee payroll and benefits queries in a professional and timely manner.
- Compile and distribute monthly payroll reports, including External Payment Reports, SARS ETI Reports, Leave Summary Reports, Salary Variance Reports, and other management reports as required.
- Provide cross-functional support and act as a backup for team members during periods of leave, absence, or high-volume workloads.
Financial Reconciliation and Compliance
- Maintain payroll-to-general ledger interfaces and ensure accurate financial integration between payroll and accounting systems.
- Prepare journal entries, identify and investigate discrepancies, implement corrective actions, and complete reconciliations for submission to the Finance Department.
- Calculate payroll-related liabilities and prepare payments for statutory bodies and third-party providers, including SARS, retirement funds, medical aid schemes, trade unions, and other applicable entities.
- Facilitate electronic payment processes and ensure all payments are submitted for approval in accordance with company policies and financial controls.
- Ensure compliance with payroll legislation, company policies, and financial reporting standards.
