Introduction

The Site Manager is accountable for the safe, compliant, customer-focused and profitable operation of Astron Olympia. The role leads the forecourt, convenience retail and deli operations; protects fuel, cash and stock controls; develops a dependable leadership team; and converts operational information into disciplined action.

The successful person must be able to run a strong site through people and systems—not only through personal presence—and demonstrate the potential to assume responsibility for more than one fuel station as the business grows

Duties & Responsibilities

1. HES, legal and operational compliance

  • Implement and verify health, environmental and safety controls, emergency readiness, PPE, incident and near-miss reporting.
  • Stop or contain unsafe operations immediately and escalate material incidents in accordance with procedure.
  • Maintain required site records, inspections, training and corrective-action evidence; ensure applicable food-safety controls in the deli.

2. Fuel and wet-stock control

  • Supervise deliveries, dips, meter/pump readings, reconciliations, variances and authorised adjustments.
  • Investigate exceptions promptly, protect evidence and escalate suspected loss, leakage, fraud or equipment faults.
  • Maintain product availability without weakening receiving, tank-capacity or segregation controls.

3. Retail, deli and inventory management

  • Drive shop and deli sales, availability, merchandising, pricing accuracy and promotion execution.
  • Control receiving, counts, stock rotation, expiry, waste, shrinkage and supplier discrepancies.
  • Ensure cleaning, hygiene, temperature, allergen and food-handling procedures are followed where applicable.

4. Financial and cash controls

  • Ensure accurate transactions, cash-ups, banking, safe controls, refunds, paid-outs and shift reconciliations.
  • Review daily and weekly performance, gross margin, controllable costs and labour deployment.
  • Investigate unexplained variances without prejudging employees and take the correct operational or employment route.

5. People leadership and labour management

  • Plan staffing and rosters for a 24-hour operation; manage attendance, leave, handovers and shift coverage.
  • Recruit, induct, train, coach and performance-manage employees consistently using approved processes and evidence.
  • Maintain constructive employee and union relations and apply employment contracts, company rules and applicable MIBCO requirements.

6. Customer experience and brand execution

  • Set visible service standards and resolve complaints professionally and promptly.
  • Maintain clean, safe and fully operational customer areas, amenities, signage and displays.
  • Use customer feedback and observed service patterns to improve execution.

7. Maintenance, security and loss prevention

  • Ensure faults, breakdowns and maintenance requirements are recorded, prioritised, escalated and closed.
  • Apply access, key, alarm, CCTV, contractor and after-hours security controls.
  • Coordinate emergency response without compromising evidence, reporting or employee safety.

8. Reporting and continuous improvement

  • Produce accurate, timely daily, weekly and monthly reports with clear actions and owners.
  • Analyse trends rather than isolated results; identify root causes and verify that corrective actions are sustained.

Standardise effective routines and develop management capability suitable for future multi-site operations.

Desired Experience & Qualification

  • Grade 12 / Matric. A relevant business, retail, operations or commercial qualification is advantageous.
  • At least 5 years’ progressively responsible retail, petroleum forecourt, convenience-store or comparable high-volume operations experience, including at least 3 years in a management role.
  • Demonstrated accountability for staff, rosters, commercial results, cash/stock controls, compliance and customer service.
  • Strong working knowledge of basic financial measures, reconciliations, labour deployment, inventory control and operational reporting.
  • Computer literacy, including spreadsheets, email, point-of-sale/back-office reporting and the ability to learn required systems.
  • Valid driver’s licence and reliable transport, with the ability to respond to site requirements and travel between operations where reasonably required.
  • Knowledge of petroleum retail HES standards, MIBCO, South African labour practice and food-service controls is strongly advantageous.
