Responsibilities

Operational Management & Business Support

  • Act as second-in-command 2IC to the General Manager: Inspections and Certification on day-to-day operational and administrative matters.
  • Translate strategic and operational priorities into clear action plans for execution.
  • Oversee daily operations across Inspections, Certification and Technical Services functions.
  • Monitor operational performance, turnaround times, service delivery standards and resource utilisation.
  • Ensure operational continuity and effective execution of departmental objectives.
  • Support the General Manager by taking ownership of routine operational activities and follow-through actions.

Scheduling, Capacity Planning and Resource Management

  • Coordinate scheduling activities across multiple functions and business streams.
  • Monitor capacity planning to ensure effective allocation of resources.
  • Identify resource constraints and implement solutions to minimise business disruption.
  • Ensure workloads are appropriately balanced to meet service delivery requirements.
  • Maintain visibility of operational demands and proactively address potential bottlenecks.

Leadership and Team Coordination

  • Provide direct oversight and coordination of Sector Managers, the Admin Manager, Operational Manager, Training Manager and Certification Manager.
  • Conduct regular performance and operational review meetings with direct reports.
  • Monitor progress against deliverables and ensure accountability across the management team.
  • Facilitate collaboration between departments and functions to achieve operational objectives.
  • Support employee development through coaching, guidance and operational leadership.
  • Foster a culture of accountability, teamwork and continuous improvement.

Systems, Reporting and Administration

  • Maintain accurate operational records across CRM, ERP, LMS and certification systems.
  • Ensure data integrity, completeness and accuracy across all business systems.
  • Compile routine operational reports, dashboards and management information.
  • Monitor key performance indicators and identify trends requiring management attention.
  • Oversee document management, filing systems and administrative controls.
  • Ensure compliance with company policies, procedures and reporting requirements.

Stakeholder Management and Service Delivery

  • Work closely with internal and external stakeholders to ensure effective service delivery.
  • Coordinate activities across operational, certification, training and administrative functions.
  • Support the resolution of operational challenges and service-related issues.
  • Escalate significant risks and operational concerns appropriately.
  • Drive a customer-focused approach that promotes service excellence and efficiency.

Operational Continuity and Deputisation

  • Act on behalf of the General Manager during periods of absence on operational and administrative matters.
  • Ensure continuity of service delivery and operational effectiveness across all supported functions.
  • Identify operational improvement opportunities and support implementation initiatives.
  • Manage and coordinate critical operational activities to minimise business disruption.

Reporting Processes

  • Provide weekly operational updates to the General Manager on key activities, risks, resource requirements and performance metrics.
  • Compile monthly operational reports covering service delivery, utilisation, scheduling performance and operational effectiveness.
  • Maintain accurate records and management information within business systems.
  • Participate in operational review meetings and strategic planning activities..
  • Support forecasting, capacity planning and budgeting processes.

Requirements

Qualifications

  • Matric Grade 12.
  • Certificate or Diploma in Business Administration, Office Management or a related field will be advantageous.

Experience

  • Minimum 4-6 years' experience in an administrative, operations management or business support environment.
  • Demonstrated experience supervising managers, supervisors or multidisciplinary operational teams.
  • Experience in scheduling, resource planning and operational coordination.
  • Experience managing multiple priorities within a service delivery environment.
  • Exposure to inspections, certification, training or technical services environments will be advantageous.

  • Understanding of service delivery processes, operational controls and performance management.
