Audit Planning & Coordination
- Maintain and update the audit schedule and A.LIMS audit plan daily.
- Allocate auditors and schedule site visits efficiently.
- Monitor audit timelines and ensure all deadlines are met.
- Communicate with auditors to confirm audit dates and provide all necessary pre-audit information.
Administrative Management
- Maintain accurate and up-to-date tracking sheets for reporting purposes.
- Ensure all audit documentation is filed electronically in a structured and accessible manner.
- Implement and maintain an effective filing and document control system.
- Submit approved client quotes to the Finance department for invoicing.
Sample & Logistics Coordination
- Coordinate sample collection and delivery between clients, auditors, and laboratories
- Track laboratory results and ensure timely follow-up.
- Arrange courier services for sample shipments and document deliveries as required.
Reporting & Compliance
- Ensure audit reports are completed and delivered to clients within agreed timelines.
- Monitor and ensure adherence to internal process flows and quality standards.
- Track and meet all client-specific KPIs on a weekly and monthly basis.
- Maintain accurate records for management reporting and audit tracking.
Stakeholder Communication
- Act as a central point of contact for clients, auditors, and internal teams.
- Address queries promptly and professionally.
- Provide clear and timely updates on audit schedules, changes, and deliverables.
General Administration
- Support additional administrative duties as required.
- Assist in improving administrative processes and efficiencies within the audit function.
- Ensure accuracy, completeness, and high-quality outputs across all audit-related deliverables.
- Uphold company standards and contribute to continuous improvement initiatives.
Requirements
Requirements
- Matric 12
- Relevant tertiary qualification in Biotechnology, Quality Management, Food Safety, or a related field.
Experience
- Minimum of 1-2 years' experience in administration and/or audit coordination
- Proven experience supporting audit processes or working in a compliance-driven environment
- Experience in planning and scheduling audits is advantageous

Knowledge
- Microsoft Office Suite Excel, Word, Outlook

- Understanding of QSR Quick Service Restaurant operations
- Knowledge of audit processes, compliance standards, and reporting requirements
