Position Title: Assistant Spa Manager

  • Reporting To: Spa Manager

Supervises: Spa Reception Team, Housekeeping Team, Spa Reservations, and Spa Therapists

Purpose of the Role

To support the Spa Manager in delivering an exceptional guest experience aligned with the purpose of restoring self through connection. This role is pivotal in creating a sanctuary where guests invest in elevating their spa experiences. The Assistant Spa Manager leads by example, embodying values of advancing others' best interests, taking accountability, and consistently pursuing professional excellence. Responsible for overseeing daily operations, supporting and mentoring the team, optimizing scheduling and yield, and ensuring all interactions reflect a commitment to service excellence and holistic wellness.

Duties & Responsibilities

Key Responsibilities

1. Guest Experience & General Operations

Uphold the spa environment as a sanctuary through exceptional service, presentation, and professionalism.

Ensure seamless coordination of bookings, treatment consultations, and guest flow.

Respond promptly and empathetically to guest inquiries, preferences, and feedback.

Prepare reception for smooth handovers between shifts and ensure availability of guest materials.

Champion cleanliness, safety, and hygiene across all areas of the spa.

Maintain accurate billing and cash handling procedures.

2. Sales & Revenue Management

Drive treatment, program, and retail revenue through strategic scheduling and upselling.

Motivate the team to meet individual and collective sales targets.

Identify new opportunities to increase spa revenue and guest value through promotional and retail initiatives.

Track retail stock and manage inventory control, adjusting par levels based on demand.

Ensure accurate recording of turn-away business and returning guests to support strategic planning.

3. Leadership & Personnel Management

Foster a culture of accountability, feedback, and continuous improvement.

Train, mentor, and support Spa Receptionists in their professional development.

Prepare duty rosters aligned to operational needs and staff wellbeing.

Conduct effective onboarding, appraisals, and performance management in line with operational standards and brand principles.

4. Duty Management

Act as Duty Manager when scheduled, ensuring the smooth running of daily operations.

Lead daily briefings to share goals, guest expectations, and performance updates with the team.

Attend interdepartmental meetings, representing spa priorities and guest care standards.

Oversee resolution of guest issues to preserve trust and reinforce the sanctuary experience.

5. Health, Safety & Compliance

Ensure team compliance with Health and Safety regulations and spa hygiene standards.

Deliver regular safety training and maintain awareness of legal and ethical obligations.

Identify and address risks proactively to ensure a secure and serene environment for both guests and staff.

Desired Experience & Qualification

Minimum Requirements

Education & Technical Skills

Grade 12 / Matric (Required).

Proficiency in MS Office Suite.

Experience

2+ years of experience in spa/hospitality administration within a 5-star environment.
