- Sygnia is an innovative FinTech company based in South Africa and listed on the main board of the JSE. The company provides asset management, stockbroking and administration services, as well as a wide range of savings products, to institutional and retail clients. All that we do is supported by leading-edge technology platforms.
- The main purpose of the role is to support the Facilities Manager in the management of services and processes that support the core business of Sygnia Asset Management and to provide support to the Management team.
Duties and daily responsibilities
- Control the day-to-day operational activities of various suppliers across the site, ensuring that all contractors are issued and are following the permit-to-work system.
- Complete site inspections to proactively identify risks to health and safety across Sygnia, daily by identifying hazards both physical and working practises and taking appropriate corrective action.
- Manage site contractors to ensure operational performance, ensuring that all team members follow the approved procedures and adhere to uniform standards.
- Carry out supplier meetings and complete supplier KPI's at the end of each period.
- Manage the H&S reporting system and log all incidents and accidents into the system.
- Manage the access control system to ensure security of all sites remains high priority
- Ensure that safe practices are followed including the use of suitable PPE where necessary.
- To establish, review and enhance processes to support and facilitate service delivery.
- Maintain high levels of service at all times.
- Undertake any other reasonable task as required by the Management Team.
- Train employees in occupational health and safety procedures,
- Assist management with Implementing, monitoring and auditing the H&S system at all Sygnia offices/sites
- Investigating incidents to ensure safe and healthy working conditions
- Administration of Health and Safety related matters
- Ensure compliance with health and safety legislation
- Carry out internal audits and participate in external audits
Education & Experience
- Knowledge of safety regulations
- Exceptional administrative skills with proficiency in compiling an electronic records keeping system.
- Skilled in planning, organizing, prioritizing and Time Management
- Outstanding communication and interpersonal abilities
- Experience with managing supply chain teams
- Relevant Facilities Management experience
- A flexible and adaptable attitude regarding shift times and working hours to fit business needs
- A basic Health & Safety qualification including knowledge of Risk Assessments & Method Statements
- Grade 12 Certificate
