Introduction

We are seeking an organised and professional Allocation Administrator to manage staff allocation requests and ensure client shift requirements are handled accurately and efficiently.

The successful candidate will be responsible for coordinating shift requests, communicating with clients and staff, maintaining accurate records, responding to queries and providing general administrative support within the allocations function.

Duties & Responsibilities

Key Responsibilities

  • Answer a high volume of inbound and outbound calls while maintaining a professional and responsive service.
  • Receive, enter, fill and manage client shift requests in a timely manner.
  • Communicate with clients regarding the progress of shift requests and any difficulties encountered when filling shifts.
  • Ensure information provided to clients and staff is accurate and up to date.
  • Maintain detailed and accurate records of staff and client activities, phone calls, emails, availability and performance.
  • Ensure staff availability records are kept current.
  • Ensure required staff checks and documentation remain up to date.
  • Respond to employee and client queries promptly.
  • Maintain accurate client and staff information.
  • Follow the required procedures when reporting incidents.
  • Perform accurate filing and archiving.
  • Reconcile purchase orders, invoices and timesheets .
  • Work effectively as part of a team to ensure outstanding shifts and administrative tasks are managed efficiently.
