To provide Human Capital administrative support within the appropriate
governance frameworks to the Business Partner: People and Culture on all
aspects of the Human Capital Value Chain enabling effective and efficient
delivery of services to respective The Company Group divisions.
Duties & Responsibilities
Provide administrative and logistical support to the Business Partner: People and Culture on the recruitment and termination process
Recruitment and Selection.
Confirm vacancy position number on SAP/ organizational structure.
Place advertisement internally or externally through the E-Recruitment system.
Provide Business Partner with longlist CVs.
Coordinate the interview process with the panel and shortlisted candidates.
Coordinate post interview process and follow HR checklist e.g. ITC and reference check.
Prepare appointment file for sign-off for the successful candidate identified & send the signed appointment letter to the candidate.
Receive signed offer letter from candidate & submit appointment documents to payroll for pre-hire for further processing.
Ensure all relevant departments are informed of the new hire.
Ensure that all positions is properly closed on the E-recruitment systems and unsuccessful candidates are regretted on the E-Recruitment system.
Ensure the appointment is saved electronically in the relevant folders
Ensure new hire information is communicated bankwide.
Termination process.
Receives the termination letter from the Business Partner for processing.
Ensure that the letter is approved by the relevant Line Manager.
Follow up with IT to ensure all The Companies assets have been handed in by the employee.
Upon receipt of all termination information (signed checklist), prepare information for submission to payroll for processing.
Provide administrative support to the Business Partner team in the implementation the Human Capital Deliverables and/projects
Provide administration support during the exit process for employees leaving the The Company.
Provide logistical and operational support with regard to labour relations issues to ensure that time frames as dictated in the relevant policies are adhered to.
Participate as a team member in HC/ ad-hoc projects in order to provide inputs and implement the project plan roll-out bank wide.
Provide advice to employee on day to day operational queries.
Provide minutes of meeting if and when required, i.e. Employment Equity and Skills Development meeting.
Setting up meeting between the Business Partner: People and Culture and the
business.
Obtaining relevant information from newly hired candidates in preparation of the new hire communication.
Provide administrative support in the rolling out of key strategic projects, i.e. Employee Wellness days.
Provide administrative support to the Business Partner: People and Culture in the administration of leave management and performance management processes
Provide administrative support to the Business Partner: People and Culture to track all performance contracts at the beginning of the financial year.
Assist the Business Partner with the quality assurance of the performance contract.
Maintain database of performance contracts for the business.
Send reminders for outstanding contracts or reviews and outstanding leave balances.
Provide administrative support to the Business Partner: People and Culture to track all performance reviews and follow up on outstanding reviews.
Ensure accurate and proper record keeping of all Human Capital information, i.e. electronic recruitment files, termination folder and the provisions of quality HC reports
Collect the required data from all relevant sources.
Verify the data to ensure that only applicable data is in the report.
Collate the data into the required format and provide a narrative for the Business Partner to produce the report for MANCO meetings.
Generate the report utilizing the information in accordance with policies and procedures.
Archive the data report for future reference purposes.
Compile the report in accordance with policies, procedures and legal requirements.
Quality and Accuracy of Employee, payroll and finance data
Ensure Employee files have all the relevant information correctly completed as per the checklist.
Ensure that recruitment files is completed ito of the checklist and filed for record keeping.
Ensure submissions to payroll is correct and on time.
Ensure that all documents is completed correctly.
Ensure that invoices are correctly processed.
Ensure all payroll submissions are completely correctly and send to payroll as per the required time frames.
Desired Experience & Qualification
Degree in Human Resources Management or Business Administration
5 years Solid HR administration experience within the HR value chain
5 years experience in terms of HC systems, i.e. online recruitment systems and SAP HC
