Duties & Responsibilities
Role Purpose: Administer and maintain HSE management systems, records, contractor compliance files, corrective action tracking tools, training matrices and reporting databases to ensure accurate, timely and audit-ready information that supports legal compliance, customer requirements and Health & Safety Management System objectives.
Key Responibilities: Health & Safety Administration
• Coordinate occupational medical examinations, inductions and site access requirements in accordance with customer and company requirements. • Create, update, verify and maintain contractor safety files and customer-specific compliance documentation, ensuring validity of all supporting records and timely renewal of expiring documents. • Maintain employee, contractor, medical surveillance, induction and training records within approved HSE systems and customer platforms. • Coordinate HSE onboarding and offboarding requirements, including inductions, medical fitness verification, site access and customer compliance requirements. • Administer and maintain HSE records, databases and electronic management systems, ensuring data accuracy, completeness and audit readiness. • Upload, maintain and verify HSE documentation on customer portals and internal systems. • Prepare meeting agendas, take minutes and track action items arising from meetings, audits, inspections and investigations. • Coordinate payment requests and associated documentation for HSE service providers, medical providers and compliance activities. HSE Processes
• Capture, update and maintain HSE information within mySHEQ Online and other approved systems. (if HR allows system-specific references). • Maintain HSE registers, including training, medical surveillance, legal compliance, incident, inspection, risk assessment and corrective action registers. • Compile, review and distribute HSE reports, statistics and compliance summaries for management and operational stakeholders. • Record HSE deviations, monitor corrective and preventative actions and escalate overdue actions to relevant stakeholders. • Maintain a comprehensive corrective and preventative action (CAPA) register and verify the effectiveness of implemented actions. • Support internal and external audits through document preparation, evidence gathering, corrective action tracking and close-out activities. • Assist in maintaining documented information required by the Health and Safety Management System and ISO 45001 requirements. • Participate in safety meetings and provide administrative support for HSE initiatives and programmes. • Monitor employee occupational fitness requirements and ensure that medical surveillance records remain current and compliant. Risk & Compliance
• Monitor statutory, customer and company-specific training requirements and coordinate training prior to expiry. • Compile, maintain and report on training matrices for sites and departments under assigned responsibility. • Monitor expiry dates for medical examinations, inductions, licences, certificates and contractor compliance documentation. • Assist in the administration and monitoring of legal compliance obligations in terms of MHSA, OHSA, COIDA and customer requirements. • Monitor compliance trends and escalate legal, customer and internal HSE deviations to the Section Manager: Health and Safety. • Ensure HSE records and documentation remain complete, current and available for audit and compliance verification purposes. HSE Reporting & Data Management
• Maintain accurate and reliable HSE data across all assigned systems and databases. • Generate weekly, monthly and ad hoc HSE reports as required by management. • Support the preparation of HSE performance dashboards, trend analyses and management reports. • Track leading and lagging indicators and report anomalies, trends and areas requiring intervention. • Verify data integrity and investigate discrepancies in HSE records, reports and registers. • Provide accurate HSE performance information to support decision-making, compliance monitoring and continuous improvement initiatives. Ad Hoc Functions
- Coordinate and assist with HSE training administration, logistics, record keeping and facilitation where authorised and competent.
- Support special projects, audits and strategic HSE initiatives as required.
- Cease unsafe work activities and report unsafe conditions in accordance with company requirements.
- Maintain statutory and site-specific safety notice boards and compliance displays.
- Coordinate and submit occupational injury and disease documentation in accordance with company and legislative requirements.
Desired Experience & Qualification
- Grade 12
- Certificate in Safety Management (or equivalent)
- SAMTRAC (advantageous)
- Strong communication skills with a high level of attention to detail and accuracy of work
- Self-motivator, proactive, entrepreneurial attitude, and a desire to learn
- Minimum: 2-3 years’ experience in a similar role within the Mining or Mining equipment industry
- Knowledge of Mine Health and Safety Act; Occupational Health and Safety Act; Compensation of Occupational Injuries and Diseases Act
- S Office (Intermediate level)
