We are seeking a proactive and detail-oriented Administrative Assistant to provide dedicated support to the Training Manager. This role focuses on managing the Training Manager's schedule, documentation, and compliance-related administration, with a strong understanding of Skills Development, Employment Equity, and BBBEE requirements. The ideal candidate is organized, discreet, and able to manage multiple priorities directly on behalf of the Training Manager.
Duties & Responsibilities
- Manage the Training Manager's diary, schedule meetings, and coordinate appointments.
- Screen and handle calls, emails, and correspondence on behalf of the Training Manager
- Prepare, format, and proofread reports, presentations, and correspondence for the Training Manager.
- Maintain and organize the Training Manager's filing systems (physical and electronic, including SharePoint)
- Assist the Training Manager with Employment Equity reporting (EEA2/EEA4) preparation and submission.
- Support the Training Manager with Skills Development Plan (WSP) and Annual Training Report (ATR) compilation and SETA submissions.
- Help maintain records and documentation required for BBBEE verification/audits under the Training Manager's oversight.
- Track compliance deadlines related to EE, Skills Development, and BBBEE scorecards, and flag these to the Training Manager
- Liaise with SETAs, training providers, and internal stakeholders on the Training Manager's behalf.
- Assist with tracking training budgets, invoices, and learner/attendance records.
- Maintain and update SharePoint sites/document libraries used for training and compliance records.
- Provide general administrative support to enable the Training Manager to focus on strategic responsibilities.
Desired Experience & Qualification
- Matric certificate (Grade 12) required; a diploma/certificate in Office Administration, Human Resources, or related field is advantageous
- 2–5 years of proven experience in an administrative or personal assistant role, ideally supporting a manager directly
- Working knowledge of Employment Equity Act requirements and reporting (EEA2/EEA4)
- Understanding of Skills Development Act processes (WSP/ATR submissions, SETA processes)
- Familiarity with BBBEE codes of good practice and scorecard requirements
- Working knowledge of SharePoint (document libraries, permissions, basic site navigation/maintenance)
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong written and verbal communication skills
- Excellent organizational and time-management abilities
- High attention to detail and accuracy
- Ability to handle confidential information with discretion
- Strong interpersonal skills and a professional, supportive demeanor
- Ability to work independently, anticipate needs, and manage competing priorities
- Valid driver's license and own transport (if applicable to the role)
Desirable Skills
- Prior experience supporting a Training Manager, HR Manager, or Skills Development Facilitator
- Experience with Power Automate or similar workflow/document management tools
- Basic bookkeeping or accounting knowledge
