Introduction

REPORTS TO:                     MANAGER: MEDICINE MANAGEMENT.

Description

The Administration assistant’s role in Medicine Management (MM) is to perform administration functions to assist the Medicine Management department. The primary role is to manage the incoming chronic applications, prescriptions and email queries and distribute the work as per departmental requirements. The assistant must also keep track of the turnaround time of the authorisations and maintain work volume statistics for the department. The assistant will also assist with sourcing membership numbers and contact details for members for review of chronic applications.

The assistant will also perform other administrative functions in the department as required.

Staff function

The administration assistant has a staff function relationship with the following positions:

  • Medicine Management Department.

Duties & Responsibilities

  • Manage the incoming work for the Medicine Management mailbox.
  • Record the volume of work per scheme for Medicine Management.
  • Maintain work volume statistics.
  • Quality Assurance of CRM items.
  • Distribute the incoming applications, prescriptions, and queries on CRM.
  • Respond to incoming emails if additional information is required to complete allocating on CRM.
  • Redirect queries to the correct department for resolution.
  • Keep track of SLA and follow up on responses.
  • Order stationary as and when required.
  • Handle clinical information in accordance with the department confidentiality and POPI act guidelines.
  • Compile relevant information required for reports.
  • Assist the Medicine Manager and Team leader with managing Ad-hoc projects.
  • Assist with following up on the Medicine Management team with regards to Ad-hoc reports.

Desired Experience & Qualification

The incumbent is expected to fulfil the following criteria

  • Experience in a call centre or administrative function in a medical scheme environment an advantage.
  • Experience and knowledge of other Chronic Conditions and medicines an advantage.
  • Experience and knowledge of the medical schemes legislation particularly pertaining to Prescribed Minimum Benefits (PMBs) an advantage.

Language requirements

  • English: Primary business language. Be able to speak, write, spell, read and comprehend the language.

  • Ability to solve problems in a customer friendly manner.
