Administrative Assistant
An Administrative Assistant is required to support sales, purchasing, invoicing, stock administration and day-to-day office operations within a manufacturing and distribution environment. The role calls for strong accuracy, solid Pastel experience and the ability to keep administrative processes moving efficiently across customers, suppliers and internal teams. Job Specification
ABOUT THE ROLE
Capture and process sales orders accurately on Pastel.
Create and process purchase orders.
Capture and maintain goods received notes (GRNs).
Generate and process tax invoices.
Capture and process supplier invoices. Offer
Match and reconcile purchase orders, GRNs and supplier invoices.
Maintain accurate customer and supplier information on Pastel.
Assist with customer and supplier account queries.
Complete general data capturing and administrative duties.
Maintain electronic and manual filing systems correctly.
Follow up on outstanding documentation from customers and suppliers.
Assist with stock-related administration where required.
Answer telephone calls and respond to emails professionally.
Liaise with customers, suppliers and internal departments.
Support management and the accounts/administration team with general office duties.
Arrange courier collection for orders.
Ensure all transactions and supporting documents are captured accurately and filed appropriately.
WHAT YOU'LL NEED
Previous administrative experience in a similar role.
Previous working experience on Pastel is essential.
Practical experience processing
Sales orders
Purchase orders
Goods received notes (GRNs)
Tax invoices
Supplier invoices
Good understanding of basic accounts and administrative procedures.
Computer literacy, including Microsoft Word, Excel and Outlook.
Strong numerical and data-capturing skills.
Excellent attention to detail and accuracy.
Good organisational and time-management skills.
Ability to work independently and manage multiple tasks.
Good written and verbal communication skills.
Professional and reliable work ethic.
Must reside in Cape Town.
NICE TO HAVE
Experience supporting stock-related administration in a manufacturing or distribution environment.
Exposure to customer and supplier account query resolution.
