Job Description

  • Lead and coordinate the delivery of Front of House, Client Services, Contractor Management, Financial Administration, and Operational Support functions, ensuring seamless service delivery, exceptional customer experience, effective stakeholder engagement, and adherence to operational and financial controls.
  • Serves as the central coordination point between clients, service providers, finance, facilities management, and operational teams, ensuring that service requests, projects, maintenance activities, contracts, and financial obligations are efficiently managed, communicated, and concluded within agreed service standards.

Key Result Areas

  • Manage and oversee operations by coordinating maintenance requests, projects, and service providers while driving accountability and maintaining service delivery standards to ensure timely and efficient request resolution.
  • Oversee reception operations, ensuring professional client experience, effective visitor management, meeting room coordination, and high standards of customer service.
  • Serve as the primary point of contact for clients, tenants, contractors, and internal teams, ensuring clear communication, effective issue resolution, and positive stakeholder relationships.
  • Coordinate and monitor contractors and service providers, ensuring work is completed to standard, access requirements are managed, and service delivery records are maintained.
  • Manage service provider accounts/payments, monitor invoices and expenses, support budget tracking and tenant billing, and ensure accurate financial records and reporting.
  • Compile and distribute reports, monitor service performance and compliance, identify operational risks, and maintain accurate records and documentation.
  • Lead and support Front of House teams by fostering a customer-focused culture, providing coaching and performance feedback, and driving continuous improvement.
  • Develop and improve operational processes, drive accountability, identify efficiencies, and ensure consistent adherence to procedures and workflows.

Requirements: Skills, Qualifications, Experience required

  • Relevant tertiary qualifications.
  • Minimum 5-6 years' experience in finance administration, customer-centric service delivery, stakeholder management and service level management.
  • Proven track record in monitoring and managing SLAs, service provider performance, and service delivery in a facilities or operations context.
  • Ability to work independently, with attention to detail
