ADMINISTRATION OFFICER 6 month contract Salary: R40 to R50K per month Location: Cape Town, Western Cape
A leading national research facility in accelerator-based science is seeking to appoint a dynamic and detail-oriented Administration Officer to support the operations of its Nuclear Medicine Department. Purpose of the Role
To provide comprehensive administrative and logistical support to ensure the efficient day-to-day operations of the Nuclear Medicine Department. Duties & Responsibilities
Key Responsibilities
- National and international client liaison
- Processing bill of material journals, sales order capturing, delivery notes, and debtors management
- Coordinating and monitoring national logistics operations to ensure accurate and timely deliveries
- Preparing shipping documentation for local and national radiopharmaceutical orders
- Liaising with freight forwarders and drivers to ensure on-time delivery
- Tracking and resolving delivery-related issues through effective stakeholder communication
- Document control of production-related documentation
- General office administration including:
- Records and database management
- Diary management
- Travel arrangements
- Meeting coordination and support
- Preparing itineraries for management
- Ordering and managing departmental stationery and technical requirements
- Preparation of reconciliation reports
- Supporting Quality Management System documentation control
- Drafting and distributing correspondence (agendas, minutes, reports)
Minimum Requirements
Qualifications
- Matric / Grade 12 (essential)
- National Diploma (NQF 6) in Office Administration or related field (advantageous)
Experience
- 2–3 years’ relevant administrative experience
- Experience in a pharmaceutical or production environment (advantageous)
- Proven logistics experience with a track record of improving efficiency
- Experience preparing reconciliation reports
- Exposure to Quality Management Systems documentation
- Experience arranging meetings and corporate functions
- National and international client liaison experience
Knowledge & Skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Experience managing databases and using accounting software
- Familiarity with travel management platforms
- Production schedule maintenance
- Filing systems and document control
- Procurement and supplier order placement
- Local and international sales dispatching and financial administration
- Strong organisational skills with attention to detail
- Excellent communication and problem-solving abilities
