Stallion Technology is a leading provider of technology-driven security solutions, specialising in AI CCTV monitoring, remote guarding, alarm monitoring and integrated security technologies.
We are looking for an exceptional Administration & Commercial Manager to lead one of the most critical support functions within our business.
This is not a traditional administration role. It is a leadership position responsible for ensuring the commercial administration of the business operates accurately, efficiently and with strong financial and operational controls.
The successful candidate will lead a team responsible for customer administration, procurement, invoicing, financial administration, reporting and business support while continuously improving processes across the organisation.
Reporting directly to the Managing Director, you will take ownership of the administration function across the business and ensure the highest standards of governance, accuracy and service delivery.
You will lead a team of administrators and interns, implement effective controls, develop staff, improve processes and work closely with Finance, Operations, Sales, Projects and Executive Management.
Success in this role requires someone who enjoys building structure, improving systems and ensuring nothing falls through the cracks.

Duties & Responsibilities
Financial Administration
- Oversee customer invoicing and recurring billing
- Manage Work in Progress (WIP) and Cost of Sales (COS)
- Review monthly financial schedules and management reporting
- Ensure supplier invoice packs are accurate and complete
- Support debtor collections and customer account resolutions
- Manage CAPEX administration and financial approval processes
Procurement & Supplier Management
- Oversee the complete procurement process
- Ensure compliance with procurement policies and approval workflows
- Manage supplier onboarding and supplier master data
- Build and maintain strong supplier relationships
- Drive procurement efficiencies and cost improvements
Customer Administration
- Manage customer onboarding through to offboarding
- Ensure customer contracts, purchase orders and billing requirements are correctly administered
- Coordinate customer amendments, cancellations and credit notes
- Ensure billing accuracy throughout the customer lifecycle
Administration Leadership
- Lead, mentor and develop an administration team
- Train and supervise junior administrators and interns
- Implement controls, checklists and quality assurance processes
- Monitor workloads, deadlines and performance
- Foster a culture of accountability, accuracy and continuous improvement
Business Operations
- Manage contract administration
- Oversee company assets and inventory administration
- Coordinate travel and logistics
- Support HR administration where required
- Manage office and facilities administration
- Prepare executive reports and management documentation
- Ensure compliance with company policies and procedures
Desired Experience & Qualification
- 5+ years' experience in a senior administration or commercial administration role
- 3+ years managing an administration team
- Strong financial administration experience
- Strong procurement administration experience
- Experience managing customer contracts and commercial administration
- Excellent understanding of invoicing, reconciliations and financial controls
- Advanced Microsoft Excel skills
- Strong reporting and analytical ability
- Excellent written and verbal communication skills
- Ability to manage multiple priorities under pressure
Highly Advantageous
- BCom degree
- Experience within the security, technology or services industry
- Experience working with ERP or financial systems
- Experience implementing administrative processes and internal controls
- Experience managing WIP, project administration or contract administration
- Experience training junior staff or interns
